Job Summary
The aim of an Apprentice Mailroom and Facilities Assistant Apprentice will be to gain an understanding and support of the Facilities Management team in managing the bank's day-to-day operations of the building in line with the strategies agreed with the Head of Facilities Management.
The Apprentice will spend at least 20% of their working time allocated to formal learning. This will be a mixture of classroom learning, webinars, self-study, and on-the-job training.
Key Work Outputs and Accountabilities
Delivery of mail services to include but not limited to:
* Keep accurate records of incoming courier/parcel/recorded and registered mail to enable document tracking.
* Ensure that all mail is collected, sorted, and distributed correctly within specified timescales.
* Liaising directly with couriers and arranging and participating in periodic service meetings.
* Raising POs and supporting with invoicing.
* Coordination of maintenance of mailroom equipment.
* Management of stationary supplies and stock levels and overseeing all print hubs to ensure sufficient paper stocks and replenish accordingly.
* Maintaining the register of archive boxes, ensuring it is kept up to date and secure destruction takes place when the boxes have reached their destruction date and in conjunction with the business owner.
* Assist with Asset Management.
* Assist the department in ensuring compliance with current UK Health & Safety, Fire Safety, and Building Regulations.
* Assist with the bank's environmental and sustainability initiatives.
* Active role in fire evacuations.
* Responsibility for meeting room services set up/down.
* Cross-training on relevant FM related services provided by the department with the ability to cover as and when required for departmental absence and resilience.
Required Qualifications and Experience
* GCSEs at grade 4-9 (A*-C) or above (or equivalent) including Maths and English.
* Strong communication and interpersonal skills.
* Excellent organisational skills and attention to detail.
* Ability to handle confidential information with professionalism.
* A proactive and positive attitude, eager to learn and develop.
* Good IT skills, including Microsoft Office (Word, Excel, Outlook).
* Ability to work independently as well as part of a team.
