We are seeking a highly organised and proactive Administration Assistant to support our office operations. The ideal candidate will be responsible for a range of administrative tasks, including document management, travel bookings, HR and payroll support, and general office duties. This role is crucial in ensuring the smooth running of daily administrative functions and supporting various departments within the business.
Responsibilities
Office Administration:
* Managing filing systems, scanning, and organising documents.
* Handling correspondence, emails, and office communications.
* Ordering office supplies, including uniform and maintaining inventory.
HR & Payroll Support:
* Assisting with HR enquiries and maintaining employee records.
* Supporting payroll administration, including timesheet checks and data entry.
* Preparing confidential documents and ensuring compliance with HR policies.
* Supporting the onboarding of employees.
Travel & Meeting Coordination:
* Booking travel and accommodation for employees as needed.
* Scheduling meetings, preparing agendas, and taking minutes.
* Book catering and support with customer visits.
General Support Duties:
* Assisting with data entry and maintaining accurate records.
* Supporting managers and colleagues with ad hoc administrative tasks.
* Ensuring a well-organised and efficient office environment.
Key Skills & Experience
* Proven experience in an administrative role, preferably in an office environment.
* Excellent phone etiquette and interpersonal skills for effective communication with clients and colleagues.
* Excellent organisation skills with the ability to manage multiple tasks and prioritise effectively.
* Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Experience handling filing, scanning, and document management.
* Ability to handle confidential information with discretion.
* Strong communication skills and a professional approach.
* Experience in HR or payroll administration is desirable but not essential.
* A proactive attitude with the ability to work independently and as part of a team.
