The Division of Theatres and Critical Care are seeking to appoint an administration coordinator for our busy Preassessment Departments on both Sunderland and South Tyneside sites.
Ensuring all patient attendances at preassessment are accounted for and clinics are cashed up in real time, making sure DNAs are communicated to relevant departments.
The postholder's primary function will be to facilitate smooth administrative functions by ensuring all tasks are undertaken and the preassessment appointment system is utilised to maximum capacity.
The successful applicant will have sound experience of NHS waiting times and experience of working in an NHS setting, making and rescheduling/rearranging appointments.
Main duties of the job
This role offers a variety of responsibilities across our preassessment services.
The postholder will be expected to monitor the day-to-day administrative tasks ensuring they are dealt with depending on priority and urgency. They will also have face-to-face contact with patients and their carers/relatives, provide reception cover, and assist with telephone calls and other general office duties.
The role involves working closely with Nurse Practitioners, Pharmacists, Consultant Anaesthetists, and administration managers as well as medical secretaries, patient pathway coordinators, and associated staff.
The post holder will provide reassurance/flag issues to administration management around appointment utilisation ensuring all slots are filled across sites.

Job responsibilities
To coordinate the pre-assessment administration processes for Pre-assessment across both sites, on a day-to-day basis.

Person Specification
Experience
* Vocational experience working in an NHS booking office.
* Familiar with medical terminology related to elective referrals on RTT pathways.
* Working in a customer-focused/service environment.
* IT Skills and demonstrate experience in word processing, spreadsheets, and databases.
Skills and Knowledge
* Proven interpersonal/communication skills.
* Effective organisational skills.
* Able to work without supervision.
* Use of Meditech PAS, NHS e-Referral System.
Physical Skills
Qualifications
* GCSE Maths and English C or above, or equivalent.
* Level 3 qualification in administration or other relevant subject or equivalent vocational experience which provides a working knowledge of:
* Prioritising patients using a waiting list.
* Basic medical terminology linked to referrals for elective patients on RTT pathway.
* Knowledge of Meditech.
