Location: Dover (Hybrid) Contract: Permanent Salary: £31,217 Closing Date: 24 April 2025 The role Part of the Facilities team, the Senior Facilities Officer is a new and exciting role at Migrant Help. You will support the Facilities Manager to manage and secure practical, pragmatic solutions to a range of premises and health and safety issues which are timely, effective, bound by budgets and understood by staff who will be able to find it straightforward to comply. Building positive partnerships and relationships with premises owners, contractors and Migrant Help managers is an essential aspect of this role. If you have demonstrable understanding of facilities and health and safety regulations with the ability to effectively advise others on best practice, and are looking for an exciting role that makes a difference, we’d love to hear from you Role responsibilities Support the Facilities Manager with management of offices and premises as required ensuring that we comply with regulation and legislation in terms of Health and Safety and good/best practice standards To support the Facilities Officers with decision making and escalation of DSE, Incidents, accidents and near misses and to coordinate monthly case reviews. To support the Facilities officers with site visits H&S and compliance. Support the facilities Manager to manage estates and facilities contracts, as required, to ensure that front line services operate efficiently; including planned and preventative maintenance, repairs to maintain the standards set out in our contracts. Support the provision of utilities contracts in line with our Environmental Management policy seeking to reduce energy usage, waste costs in line with our targeted reductions in carbon emissions. Ensure that all regulatory and legislative practices such as PA Testing, annual inspection of fire equipment, alarms, are relevant and up to date. Support the provision of audit on Migrant Help’s offices and services to ensure compliance with ISO45001 / 9001 / 27001 accreditation. Investigate, or where appropriate, to assist others to investigate the root causes of accidents and near misses and working with those involved and their managers take necessary steps to prevent a recurrence Support team members and work collaboratively to contribute to achieving team outcomes. Participate in team meetings, share relevant departmental information and provide input on issues that arise. To oversee day to day facilities provisions and support the team where required to ensure the department meets the organisational needs. Build and maintain effective and supportive relationships, internally and externally, engaging in dialogue to ensure projects are completed in accordance with contracted specifications and onsite H&S requirements are complied with. To apply policy and organisational guidelines and procedures in relation to procurement and contract management. Monitor procurement and contract management processes to ensure they are open, transparent and competitive, and that contract performance is effective. Prepare clear project proposals and define scope and goals in measurable terms. Prepare accurate estimates of costs and resources required for complex projects and to evaluate progress and identify improvements to inform future projects.
