The Role
Forbes Solicitors LLP are seeking a Billing Assistant to join our Insurance team at our Walton Summit Office. This role is full time, working 36.25 hours per week, Monday to Friday.
This is a fantastic opportunity for an experienced Billing Assistant to become part of a collaborative and professional team. The Billing Assistant is responsible for supporting the Finance/Insurance team in managing the firm's billing processes. This role ensures that client billing is accurate, timely, and in compliance with client agreements and firm policies, thereby contributing to the firm's financial stability and client satisfaction.
As a key member of our team, you will be responsible for achieving successful outcomes such as:
* Assist in the preparation and generation of client invoices, ensuring accuracy and adherence to client agreements, SLAs, and firm policies.
* Maintain and manage the billing schedule, ensuring all client work is billed in a timely manner.
* Respond to billing-related inquiries from clients and internal staff, providing clear and accurate information.
* Accurately enter billing data into the firm’s financial systems, ensuring all billable activities are correctly recorded.
* Work closely with fee earners to ensure that all billable time and expenses are captured and invoiced appropriately.
* Assist in reconciling billing records with accounts, identifying and resolving discrepancies.
* Ensure all billing activities comply with legal, regulatory, and internal standards, including VAT and other relevant tax laws.
* Update and maintain accurate billing records in the firm’s financial systems.
* Identify opportunities to improve billing processes, contributing to the efficiency and effectiveness of the finance team.
The Person
We will be progressing applicants to the next stage based on their demonstrated knowledge, experience, and skills in:
* GCSE Maths and English, grade C/4 or above, or equivalent is essential;
* strong numerical skills with the ability to understand and manage financial data, including invoicing, payments, and reconciliations, is essential;
* high level of accuracy in handling billing and financial records, ensuring all transactions are correctly recorded and discrepancies are minimised;
* experience in liaising with internal and external stakeholders, including clients, fee earners, and suppliers, regarding financial matters;
* previous experience working in a legal setting, supporting legal professionals in administrative roles would be desirable;
* aligns with the Firm's values;
* ability to prioritise tasks, manage time effectively, and coordinate multiple activities simultaneously;
* have the ability to work as part of a team;
* have proven competence in their IT skills (Outlook, Word, and other systems experience);
* excellent written and verbal communication skills for interacting with clients, colleagues, and external parties;
* have an interest in long term development/progression in the department.
