Your responsibilities and tasks:
1. Fully office based role. Office hours – 9:00am – 17:00pm (30 min break)
2. Completing handover and credit check forms, and gathering information for new customer setups
3. Raising service calls
4. Raising purchase orders and credits
5. Sending FSE work orders, processing their hours and work reports.
6. Checking margins and invoicing calls
7. Completing quarterly call-out rotas for engineers' 24-hour duty
8. Approving engineers' hours daily for the previous day
9. Maintaining records of engineers' holidays, lieu days, absences, and sickness
10. Closing maintenance calls at the end of each month
11. Compiling reports such as contract margins, engineers' weekly hours, and service call transaction reports
12. Liaising with site contacts to schedule work and discuss overdue invoices.
13. Compiling and distributing the weekly diary to engineers
14. Maintaining a maintenance log and ensuring visits are completed on time.
15. Gathering information and preparing simple quotes for customers
16. Liaising with engineers regarding their PPE and workwear requirements and submitting requests to service support for orders
Your profile and qualifications:
1. Previous experience in an administrative role preferably within a service or technical environment
2. Experience working collaboratively with a team
3. Full MS Office
4. Ability to multitask.
5. Excellent verbal and written communication
6. Customer Centric
7. A team player – Ability to work within a team for internal/external clients in a fast paced and energetic environment
8. Proven ability to remain calm under pressure
9. Passion to succeed with the ability to work with minimal supervision and be self-motivated.
10. Flexibility of time to ensure all duties are carried out across a diverse 24/7 business.
