We are a Private GP, Aesthetic and Medical Centre based in Chelmsford, operating since 2015. Due to planned expansion and relocation to a new premises, we have 1 opening available for a Clinic Admin & Coordinator to start ASAP, but willing to wait for the right candidate.
Job Role:
We are looking for an enthusiastic Clinic Coordinator/Admin Assistant with excellent customer service and organisational skills to join our team, providing the highest standard of care to our patients.
We are looking for someone who is able to work in a busy Medical Clinic environment and willing to go above and beyond for our patients and the team.
Responsibilities include (but are not limited to):
1. Administrative and reception duties.
2. Open and closing the Clinic and ensuring the Clinic is ready for the day.
3. Ensure patient common areas are well maintained and presentable at all times - including entrance, reception, waiting room and toilets and report any faults or risks to the Manager.
4. Meet and greet Patients for consultations/treatments ensuring they are dealt with in a professional manner.
5. Answering e-mail, Social media and telephone enquiries.
6. Booking patients/diary management on our CRM.
7. Coordinate with different Doctors & their secretaries to book appointments.
8. Help in cleaning duties to comply with CQC standards for healthcare facilities.
9. Assisting in maintaining standards to meet CQC requirements.
10. Responsible for taking payments from patients, ensuring company policies and procedures and security standards are complied with, to include receipt of payments, cashiering and banking, refunds, petty cash and invoices.
11. Recording of appropriate patient complications, escalating these to the Manager.
12. Responsible to ensure patient complaints are reported to the Manager.
13. Sundry duties to include sorting post, receiving & recording deliveries, stock checks.
14. Ensure consistent compliance with company policy and procedures related to the role.
15. Act as chaperone support as required by practitioners, training will be provided.
16. Use own initiative to manage day to day challenges and issues arising.
17. Assisting with aesthetic and surgical procedures (previous experience with this desirable) if interested.
18. Health and safety duties ensuring checks and audits are completed correctly and efficiently.
19. Responsible for ordering consumables and refreshments, as required.
20. Inform Manager of any order requirements in a timely and pro-active manner to ensure maintenance of stock levels.
21. Being a CQC registered medical practise, we have a few guidelines to follow and we expect all the staff to be familiar with and follow the policies.
22. Undertake all required training and development required for the role and ensure it is updated accordingly.

Experience Required:
1. Minimum 2 years experience as a clinic/hospital/GP surgery receptionist/secretary is desirable (aesthetic/skin/cosmetic surgery clinic experience)
2. Experience with using an electronic patient record management system.
3. Experience with e-mails, Microsoft Word, Excel & Powerpoint.
4. Experience with handling calls (new enquiries and patients)

2. Enthusiastic team player – good people skills and able to work with other members of the team to fulfil clinic needs. Also flexible and willing to help other members of the team or cover for colleagues who are on leave when needed.
3. Organisational/time management skills – able to organise time effectively to carry out the various responsibilities effectively and to a high standard.
4. Reliable & dependable - able to complete tasks within agreed time frames with good attention to detail.
Salary:
Competitive, based on experience.
