Sexual Health Receptionist and Administrator

This role requires an enthusiastic, motivated individual with excellent communication skills to join our dedicated administrative team to support the administrative functions of the Sexual Health Service including genitourinary medicine, contraceptive services, Chlamydia Screening Programme, HIV services, and the Torbay Pregnancy Advisory Service (ToPAS) across all sites including Castle Circus Health Centre and any peripheral clinics within the Torbay and Teignbridge area.
Please note the Sexual Health service is currently provided by Torbay & South Devon NHS Foundation Trust. With effect from 1 July 2025 the service will be provided by Royal Devon University Healthcare NHS Foundation Trust. Main duties of the job
Primarily the role entails:
* Covering the appointments phone line within the service;
* Booking appointments;
* Greeting patients face to face;
* Inputting data into the sexual health electronic patient record system (Inform), as well as the hospital systems (PAS, Galaxy, and CRIS).
Job responsibilities
Communication and working relationships
* To deal with potentially distressed patients with empathy and tact both on the telephone and in person regarding matters of a sensitive nature.
Planning and organisation
* To cover the phone lines and make appointments, ensuring patients are seen at the appropriate time, in the correct clinics, and are booked in accordance with local and national sexual health booking guidelines.
Analytical and judgement
* To ensure compliance with sexual health quality indicators including waiting times and follow the escalation policy in the event of any likely exceptions or breaches.
Responsibility and accountability
* To ensure all local standard operating procedures are followed appropriately.
Responsibility for patients and client care
* To receive patients in a friendly, non-judgemental, and tactful manner.
* To show empathy when dealing with matters of a sensitive nature.
Person Specification
Qualifications
* Educated to GCSE level (or equivalent) to include minimum English & Maths at Grade C / 4 or above.
* Reception or front-line experience of dealing with patients/public.
* Customer care experience.
* ECDL (or equivalent).
* Knowledge of Inform, PAS, Galaxy, and CRIS systems (full training will be given).
* Knowledge of Word, Excel, Outlook, and NHS Mail.
* Previous experience of working within a health and/or social care setting.
Specific Skills
* Excellent telephone manner and good communication skills.
* Good keyboard and IT skills.
* Willingness to work evenings and possibly Saturdays.
* Willingness to travel to peripheral clinics across Torbay & Teignbridge.
