We are looking for an Office Support Administrator who will be at the heart of our front office, greeting visitors, clients, and staff with a warm smile, managing the day-to-day flow, and keeping the front of house running smoothly.
What you will be doing:
* Greeting visitors and answering calls in a warm, friendly, and professional manner
* Maintaining and enhancing our professional, well-organised front-of-house
* Providing administrative assistance to operational and administrative teams which may include electronic meeting room and hospitality bookings, co-ordinating electronic mail systems, booking couriers, scanning and filing mail, etc
* Creating and maintaining straightforward Excel databases
* Managing room and hospitality bookings, such as booking lunches, preparing hospitality trays, and making sure meeting rooms are tidy and appropriately set up before and after use
* Aiding the Administration Manager with tracking inventory, restocking supplies such as stationery, printer paper, and other essentials, and liaising with suppliers and ordering supplies as needed.
* Supporting the Administration Manager with basic facility duties and health and safety matters, including maintaining health and safety logs for all offices.
* Providing general administrative support as required
You will:
* Demonstrate your ability to provide remarkable customer service
* Ideally have previous administrative experience in a professional office environment
* Be educated to Higher Level (or equivalent) with a strong pass in English
* Be professional, welcoming, and an enthusiastic team player with a ‘can-do’ attitude
* Thrive in a fast-paced environment, demonstrate multitasking capabilities, and stay calm under pressure
* Have outstanding organisational and communication abilities with the capability to plan ahead
* Be self-motivated and be capable of working with minimal guidance
* Have strong IT skills such as Word, PowerPoint, and Excel
