Responsibilities:
1. Front Desk Operations:
o Greet and welcome visitors in a professional and friendly manner as you may be the first point of contact.
o Manage enquiries both in person or by telephone from members of the public/patients or clients and directing them to the appropriate personnel.
o Maintain a neat, organized and safe environment for patients/clients, members of the public and staff.
2. Customer Service:
o Provide excellent customer service to clients, patients, and employees.
o Address enquiries and provide accurate information about the company's products/services while adhering to the company’s standards, policies and procedures.
3. Appointment Scheduling:
o Schedule and coordinate appointments for patients/clients and consultants and prioritize workload in accordance with company needs. Attend and arrange meetings for executives or other team members.
4. Administrative Support:
o Assist with administrative tasks such as receiving, sorting and distributing mail, handling courier deliveries, and maintaining office supplies and inventory.
o Collaborate with various senior staff to support their administrative needs.
o Medical assisting work may be required. (Experience beneficial but not essential)
5. Security and Access Control:
o Monitor and control access to the premises, ensuring a secure and safe environment reporting any faults or concerns immediately to senior staff.
o Issue visitor badges when required and maintain visitor logs.
6. Communication:
o Relay important communications and announcements to all levels of staff promptly.
o Assist in maintaining internal communication boards.
Qualifications:
1. Education:
o GCSE: Maths C and English C
o GCSE or equivalent (preferred)
2. Experience:
o Medical assisting
o Previous experience in healthcare as a receptionist or in a customer-facing role is required.
o Preferred experience in radiology.
o Medical assisting: 1 year (preferred)
3. Skills:
o Excellent communication and interpersonal skills.
o Ability to work as part of a team and be able to use own initiative.
o Proficient in using office equipment such as phones, computers, and printers.
o Strong organizational skills, attention to detail and ability to prioritize workload.
o Ability to handle multiple tasks and prioritize responsibilities.
o Provide a high standard of attendance, appearance and behavior within a very busy working environment.
o Software Proficiency: Familiarity with basic computer software (e.g., Microsoft Office Suite).
o Adaptability: Ability to adapt to changing priorities and a fast-paced work environment.
