A Law Firm in London is looking for a HR Assistant to support their team:
This role provides day-to-day administrative support to the London HR Team. It is often the first point of contact for many administrative HR matters.
Key Responsibilities
1. Responsible for maintaining accurate data on the HRIS e.g. joiners, leavers, office transfers, changes to working patterns, employee personal details and absences, testing new functionality;
2. Preparing HR correspondence, using DocuSign where appropriate e.g. probation completion letters, reference requests, changes to working patterns, salary review and bonus communications, etc;
3. Working with the Payroll team to advise them of any payroll and benefits administrative changes on a monthly basis;
4. As advised by the Immigration Advisor, assisting with visa applications for new joiners and visa renewals;
5. Coordinating the leaver process including confirming remaining holiday, sending leaver documentation;
6. Maintaining the HR pages on the intranet;
7. Providing assistance with appraisal processes (viDesktop), managing appraisal documentation, etc;
8. Assisting with annual salary and bonus review processes by preparing standard documents, updating the HR system, etc;
9. Acting as the point of contact for holiday queries, managing the year-end holiday/carry-over process, providing holiday accrual reports;
10. Sickness Absence - monitoring and logging sickness absence, forwarding self-certification forms for completion as appropriate, chasing doctor’s notes, highlighting potential issues or concerns;
11. Ad hoc reporting from the HRIS.
Lateral Recruitment & On-boarding
1. Liaising with recruitment agents and coordinating interviews;
2. Coordinating technical tests and maintaining results spreadsheet;
3. Maintaining new joiner spreadsheet;
4. Main responsibility for the on-boarding process, including - Adding new joiners to Workday, completing all pre-employment background checks and document collation/management; Pre-joining medical – setting up and monitoring progress;
5. Arranging inductions and induction timetable, arranging buddies and supervising partners; sending joining instructions;
6. Liaising with IT and Facilities for new joiner IT equipment to be sent to home addresses;
7. Supporting the International Student Interview Program and US Law Fair annually, plus ad-hoc projects and new recruitment initiatives.
Experience
1. Minimum of 18 months relevant experience, ideally gained with the legal sector and/or professional services;
This opportunity is hybrid and the salary is circa £45,000.
