The role includes supporting the efficient day-to-day running of the dietetic department, working closely with the operational lead and clinical lead dietitians.
Main duties of the job
A key element of this role is supporting with analysis of reports by extracting data from all report formats for all Key Performance Indicators (Quantity and Quality) within the team and feeding this back to the operational lead in a format that can be used within the service/teams for planning and supervision purposes.
You will need to be able to work on your own initiative, manage time effectively, and prioritise your own workload. You will need to be prepared to attend internal and external meetings relevant to the post and organise and participate in team business meetings and CPD sessions. You will need to be able to identify ways of improving efficiency, including planning and managing changes as required. You will need to be able to successfully navigate patient clinical systems to meet reporting requirements daily.

Job responsibilities
Request information/activity reports that are required on behalf of the Head of Specialised Services and Operational Lead including data timeliness, data quality, contract monitoring reports, waiting times, cancelled clinics etc.
Responsible for liaising with Corporate/Support Services to obtain data/performance reports e.g. activity reports, workforce and training data, financial information.
Provide a central point of contact to respond to/resolve any queries on behalf of Operational Lead where appropriate in relation to all Key Performance Indicators.
Attend internal and external meetings relevant to the post, taking minutes and distributing using appropriate systems, arranging a variety of meetings and sourcing agenda items, as directed by the Operational Lead.
Support and participate in the Business Meetings held monthly within the clinical teams.
Contribute to a robust and strong cohesive framework, providing support to colleagues to ensure consistency and equity of provision across Services/Teams as required.
Process staff change forms and relevant letters; data amendment forms; termination forms and general HR relevant information.
Manage personal files including records of appraisals carried out for all staff.
Develop and implement modern office systems and processes across the Team and identify ways of improving efficiency including planning and managing any changes required.
Ability to use a range of software programs, such as Microsoft Word, Excel, PowerPoint, Outlook, and a range of office equipment including multi-function devices for photocopying, printing, scanning etc.
Undertake regular 1:1 supervision sessions with identified administration staff as directed by the Operational Lead and report any training issues and needs.
Deliver appropriate training to staff and support induction for new members of staff and produce appropriate training plans for the role.
Be responsible for the annual appraisal of identified staff within Specialist Adult Dietetic Service, establishing key objectives and personal development plans to enhance team and individual performance.
Be responsible for the operational day-to-day management of the triage support workers and admin apprentice (if applicable) including assessment and evaluation of workload, reallocating work as necessary.

Qualifications
* Business Administration NVQ level 3 or equivalent experience
* OCR/RSA III or equivalent experience
* BTEC diploma in business
* Leadership training
Experience
* Previous experience of setting up office/administrative systems
* Experience of working in the NHS
* Experience of inducting new staff
* Knowledge and experience of clinical systems
Skills
* Good working knowledge/experience of using Microsoft Office including Outlook, Word, Excel, and PowerPoint
* Good communication and interpersonal skills
* Able to communicate effectively with other agencies and members of the public
* Understanding of dietetic services
