Job Role
As an Executive Assistant at Quicklet Property Management, you will play a crucial role in ensuring the smooth operation of our executive team. You will provide comprehensive administrative support, manage schedules, coordinate meetings, and assist in various projects. The ideal candidate is highly organised, possesses excellent communication skills, and can handle multiple tasks with a high degree of professionalism and discretion.
Key Responsibilities:
1. Provide high-level administrative support to the company directors.
2. Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
3. Coordinate and prepare materials for meetings, presentations, and reports.
4. Handle incoming and outgoing communications on behalf of executives, including emails, phone calls, and correspondence.
5. Assist in project management tasks, including tracking progress, deadlines, and deliverables.
6. Maintain confidential and sensitive information with utmost discretion.
7. Conduct research and compile data to support decision-making processes.
8. Liaise with internal and external stakeholders, including clients, vendors, and employees.
9. Conduct market research and collate data relating to acquisitions.
10. Maintain acquisition target relationships.
11. Attend weekly property meeting and follow up on actions required.
12. Perform other administrative duties as required to support the efficient operation of the company.
Qualifications:
1. Bachelor’s degree in Business Administration, Management, or a related field preferred.
2. Minimum of 2 years of experience as an Executive Assistant or in a similar role.
3. Exceptional organisational and time management skills.
4. Strong written and verbal communication skills.
5. Proficiency in Google Suite.
6. Ability to work independently and handle multiple priorities in a fast-paced environment.
7. High level of professionalism and confidentiality.
8. Excellent problem-solving skills and attention to detail.
9. Familiarity with property management or real estate industry is a plus.
