A vacancy has arisen for an Administrator to join our team based at our Barnsley office.
The role is to deliver a high standard of administration services to the Severn Trent Water Framework. The role is varied and incorporates working within a busy environment, ensuring that all issues are dealt with in a timely manner. The role also involves administration delivery of all ad-hoc and project work that takes place on the contract. Daily duties include but are not limited to timesheet management, building quotes, monthly reports including KPIs as well as using purchasing systems. Liaise with finance department to ensure all quotes are tracked through to self-invoice stage and invoices are paid on time and are cross checked against submitted quotes.
The role briefly encompasses the following duties: -
Analysing and processing client information.
Monitoring spend vs budget.
Monitor and support the delivery of all services to the client
Processing quotations and working to strict commercial procedures
Processing purchase orders and inputting relevant data
Inputting timesheets and employee data to relevant time management systems, where required.
Supporting the preparation of all financial reporting including month end accounts/P&L documentation.
Referring work to the relevant manager and/or sub-contractor
Collating management information (MI) data
Using our computerised systems for tracking and monitoring
Processing external correspondence, filing, archiving
Demonstrating excellent IT and workload management skills
Maintaining training records and ensuring team training is arranged
Creating reports as per client request
Assisting the SHEQ function
Communicating directly with staff, customers and suppliers; this requires a professional manner to ensure that the business maintains the key relationships with all stakeholders
General administration as required
The ideal candidate will possess the following skills/experience/ attributes:-
Undertake any site specific training as required.
Knowledge and Experience in a similar Role.
Fully conversant with all requirements of IT within administration (Micro soft Word, Excel etc.)
Reactive and proactive.
Ability to work independently and on own initiative.
Good time keeping and willing to work overtime as necessary.
Good communication skills, both with colleagues, other contractors and clients at all levels
Ability to work under pressure and to tight deadlines.
