What You Need to Know
We are looking for an Operations Coordinator to join our Sampling family team currently based in Tullos. This is a full-time position, working as part of the Instrument & Calibration team. Please note the facility will be relocating to Skene, Westhill in Summer 2025.
The Operations Coordinator will assist with the management and overseeing of all Instrument & Calibration rental operations, liaising with customers, and providing excellent customer service at all times. Responsible for controlling rental & service projects, maintaining systems and invoicing, this is a busy and varied role within a small team.
What We Are Looking For

2. Assist in the administration and control of all rental/service projects.
3. Ensure customers are handled in a friendly and professional way.
4. Ensure sound product knowledge and understanding is acquired and maintained.
5. Build and maintain effective customer relations.
6. Liaise and support with the I&C operations team on specific technical projects.
7. Plan and issue work schedules to the workshop team lead.
8. Prepare and complete all relevant reports and paperwork.
9. Liaise with I&C operations team, clients, and suppliers.
10. Develop best practices and tools for project execution and management.
11. Maintain electronic and hard copy filing systems.
12. Assist administration team on the completion of project invoicing.
13. Schedule and carry out rental continuation invoices.
Qualifications / Skills & Experience
1. Good Standard of general education with passes in English and Maths.
2. Excellent verbal and written communication skills.
3. PC literate.
4. High level of ERP System knowledge.
5. Able to work with a high degree of autonomy and take responsibility for effectiveness of department output.
6. Able to relate to team, customers, and suppliers at all levels.
7. Able to respond effectively to the demands of a high and varied workload as well as changing workload priorities.
