Overview
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations, ensuring that administrative tasks are completed efficiently and effectively. This position requires strong clerical skills, proficiency in various software applications, and excellent communication abilities.
Duties
1. Provide comprehensive administrative support to the team, including managing schedules and coordinating meetings.
2. Perform data entry tasks accurately and efficiently to maintain up-to-date records.
3. Utilise QuickFile for basic financial tracking and reporting as needed.
4. Handle phone calls with professionalism, demonstrating excellent phone etiquette.
5. Assist in the preparation of documents and presentations using Microsoft applications.
6. Maintain an organised filing system for both physical and electronic documents.
7. Support office management tasks, including inventory management of supplies and equipment.
8. Collaborate with team members to improve office processes and enhance overall productivity.
Qualifications
1. Proven experience in an administrative role or similar position is preferred.
2. Proficiency in QuickFile and Microsoft is advantageous.
3. Strong organisational skills with the ability to manage multiple tasks simultaneously.
4. Excellent clerical skills, including typing speed and accuracy.
5. Familiarity with data entry procedures and computerised record keeping.
6. Effective communication skills, both verbal and written.
7. A proactive attitude towards problem-solving and a willingness to learn new skills.
8. Ability to work independently as well as part of a team.
9. Knowledge of project management software is advantageous.
