Role Purpose
Digital, Data and Technology (DDaT) are responsible for transforming and supporting all of the force's digital technology needs.
The Service team are responsible for all of the end user support in the ‘live’ environment whether it is delivered via internal resources or by external suppliers. The Service team is the most customer-facing division of the DDaT Department, and key responsibilities are as follows:
* The provision of excellent IT customer services across the force;
* Effective end user communication;
* Monitoring user satisfaction;
* Managing complaints;
* The effective provision of first /second line support;
* Service desk;
* Problem and Incident resolution
* Remote user support;
* Understanding and representing customers within IT processes and governance
* structures (e.g. Change Advisory Board);
* Asset Management
* Service Transition and Onboarding
This role will be responsible for supporting the Change and Asset Manager in the implementation and monitoring of governance, processes and procedures, taking the lead where appropriate and tasking the Configuration analyst to deliver the forces priorities.
The role is responsible for the day to day management asset and configuration data along with and other relevant information on the overall software licensing compliance across the force, ensuring value for money and good asset management principles and is expected to have good knowledge of enterprise software licence terms, and licensing approaches- such as Microsoft Enterprise Agreements.
The role holder will be expected to liaise closely with other teams to ensure that accurate reports on software and hardware asset management/status are regularly available. The ITSM tool and any other supporting software solutions should be configured to help produce these updates.
As an Analyst you will have the experience and skills;
Essentials;
* Demonstrable knowledge of compliance
* Demonstrable knowledge of Software/Hardware Asset Management
* Good Knowledge of Software Assets Management & CMDB tool such as SNOW, Intune
* Experience interpreting licensing terms and conditions
* Experience in a similar role
* Excellent communication and documentation skills
* IAITAM certification or equivalent
* Attention to detail
Desirable:
* ITIL Foundation (v3 or v4)
* Previous experience dealing with sensitive or classified information
* Knowledge of different licencing structures, e.g. Individual, group, enterprise
As an Analyst your tasks & responsibilities will include;
• Provide insights on the latest software licensing position around compliance, consumption and entitlement;
• Produce and present asset management summaries to illustrate the current software and hardware portfolio of assets across the force;
• Maintain secure configuration and accurate information, controlling IT assets in one or more significant areas, verify the location and state of asset
• Analyse and assess impact, develop and document change requests
• Partnering with force commercial services, undertake regular comparisons of software license records against audit records of installations;
• Ensure a quality focused ethos across the team, and support the creation of templates and versioning control in all departmental policies and procedures;
• Ensure that workflows and Service Desk processes are consistent and follow ITIL best practice;
• Manage the ongoing collation and development of a singular procedure manual for all key IT support tasks, as part of the knowledge base;
• Ensure clear protocols on the issue and allocation of controlled assets are in place and that these are audited regularly for adherence to the procedure;
• Ensure clear policies are in place for the control of issuing assets, and that these are regularly checked for suitability and accuracy;
• Ensure that contact details for all 3rd parties who provide on call support are documented and available to all those needing them;
• Maintain a register of all force systems, identifying lead stakeholders (SPOC’s), the underlying infrastructure which they reside on, and the function which the system serves;
• Maintain a register of all force hardware consumables, and ensure that stock control processes are in place to maintain a suitable float;
• Support the Change and Asset Manager in the effective management of software and physical assets;
• Report on the ownership of all technology assets across the force;
• Review and Analyse licence information in advance of contract renewals cycles
• Adopt a culture of promoting customer service excellence;
• Provide timely and accurate management information to senior stakeholders and decision makers;
• Undertake analysis after release and set the plan for upcoming change
• Ensure any processes and standards specific to this role are well documented and understood throughout the department;
• Support service transition activity, ensuring the Configuration Database, Assets, Licence and cost impacts are understood and built into forward looking plans
• Assist Change and Asset Manager in the governance of CAB and other key forums
