We are working on behalf of our client and looking to recruit a PAYE fixed contract for 6 months for a HR Assistant. This is a part time role, 25 hours per week Monday-Friday, on a hybrid working arrangement (3 days in the office, 2 days from home).
Job Title: HR Assistant
Reports to: HR Manager
Role Summary: The HR Assistant will support the HR Team on all aspects of HR across the business. To work as part of a proactive, innovative, and responsive HR team to provide pragmatic, creative, and commercially focused HR solutions and recommendations across the business. To build and develop relationships with internal and external parties at all levels. Contribute to the successful delivery of the Human Resource function through supporting the organisation’s people strategy.
HR Support
* Create and send out letters on behalf of the HR Team
* Update Charity and Hospitality register with donations made
* Update and maintain internal databases (various systems and COINS)
* Supporting the administrative elements of both the new starter and leaver processes
* Ensure soft and hard files are updated accordingly
* Support in all audits HR are involved in
* Arrange inductions
Systems Admin
* Update internal system with training certificates and cards for PAYE staff
* Update internal system with HR admin info i.e. holidays / Employee Details forms / new starters/ leavers
Performance Development / Probation Reviews
* Ensure all 3 and 6-month probation reviews are scheduled, and the relevant documentation provided
* Ensure PDR’s and probation reviews paperwork is signed and returned
* Send successful completion of probation letters
* Chase outstanding performance reviews
Recruitment and on boarding
* Undertake pre-employment checks and take references
* Send a welcome email with relevant attachments to new starters and Line Managers
* Create bonus and pension letters to send
Absence Management
* To update and maintain the absence management spreadsheet
* Ensure absence documentation is completed and returned
Benefit Management
* Platform management for staff benefits
Training
* Ensure the administration of the Company Training Matrix is kept up to date
* Coordinate and send joining instructions for all booked courses. Add to Outlook calendar to ensure it is captured in staff’s diaries
* Proactively track upcoming expiry dates and communicate with the employee and HR & Training Coordinator
* Processing & tracking purchase orders & invoices using Filemaker system
* Create Learning Agreements for all staff that the company is sponsoring for further education / development in collaboration with HR & Training Coordinator
* Coordinate and maintain Training Cost Tracker
* Create profiles and track the Company’s chosen E-Learning platform (Skillsbite)
* Support with Fatigue/ Sentinel Matrix
