Job Description
We are looking for an empathetic, organised individual to join our existing care management team to perform a wide variety of administrative tasks in a timely manner to support the smooth running of the office. You will need to have excellent communication skills, be flexible in your approach, and coordinate office activities effectively and efficiently to provide the highest quality service to our clients while enjoying working in a fast-paced environment.
Care experience would be preferred but not essential as full training will be provided.
Your role will include some of the following duties:
* Responsible for all aspects of office administration activities whilst being reactive to the needs of the business.
* Warmly greet visitors to the office; answer phone calls in a polite professional manner, passing on clear messages where appropriate.
* Manage correspondence by responding to emails and handling incoming and outgoing post, ensuring client schedules and invoices are sent by email and post.
* Frequent use of Microsoft 365 including Word, Excel, Outlook, etc.
* Participate in team meetings, performance reviews, and take minutes and distribute as required.
* Liaise efficiently with external professionals and complete referrals as appropriate (training can be provided).
* Manage the Care Professional initial information packs, ensuring upload of completed documentation and filing in appropriate personal files.
* Maintain effective systems ensuring that all filing and databases are kept up to date.
* Support the recruitment and pre-employment checks processes where appropriate.
* Coordinate Care Professional retention activities such as newsletters and Care Pro of the month, etc.
* Arrange appointments for Care Professionals and family members with suitable members of staff and input into the shared calendar.
* Support projects and IT initiatives where appropriate.
* Stock audit the office and PPE supplies and make sure it is in accordance with office and Care Professional needs.
* Carry out any other duties deemed necessary for the successful operation of the business.
* Ensure compliance with Home Instead's Equality, Diversity, and Equal Opportunities Policy in respect of employment and service delivery.
* Being willing to provide care when necessary and take part in the On-Call rota would be an advantage.
Qualifications
* Competent using office programs including Microsoft Office, Google Docs, etc., with the aptitude to learn new software systems.
* Proven experience in office administration within a busy office environment.
* Strong organisational skills with the ability to multitask and prioritise daily workload with strong time management skills.
* Self-motivated and able to work flexibly, someone who is calm and compassionate who isn't afraid to get stuck in when the office is busy.
* Excellent written and verbal communication skills.
* Keen eye for detail and the ability to work accurately under pressure.
* Strong team player with the confidence to work alone.
* Discretion and confidentiality.
