Role Overview:
As our Office/Facilities Manager, you will play a pivotal role in ensuring the smooth, cost-effective, and compliant running of their offices and facilities. You will oversee a diverse array of responsibilities, ranging from the strategic management of the buildings and premises to ensuring a comfortable and safe working environment that supports the needs of their team. This role is ideal for someone who excels in both hands-on operational management and strategic planning, with a keen eye for detail and a passion for continuous improvement.
Key Responsibilities:
1. Oversee the maintenance and management of the premises, ensuring they are safe, secure, and well-maintained to the highest standards.
2. Ensure that all office and facility operations adhere to current health and safety regulations, proactively identifying and mitigating risks.
3. Prepare and manage tenders, supervise contractor work, and coordinate essential services, ensuring top performance and value for money.
4. Manage office space effectively to accommodate company growth and operational needs, ensuring all layouts comply with safety and ergonomic standards.
5. Negotiate and manage procurement of utilities, communication systems, and other services to ensure cost-effective and high-quality service provision.
6. Oversee building security, implement robust safety protocols, and respond to emergencies with calm and efficiency to safeguard employees and company assets.
7. Implement sustainable practices, such as waste disposal, recycling programs, and energy-efficient building operations.
8. Lead the Reception team, managing performance, development, and recruitment to ensure a welcoming and professional front-of-house experience for visitors and staff.
Key Areas of Focus:
1. Lead and supervise both routine and ad-hoc projects (e.g., office moves, refurbishments, vendor transitions) from concept to completion, ensuring minimal disruption to operations.
2. Calculate and compare costs for required goods or services, striving for efficiency while maintaining high standards of quality and functionality.
3. Maintain accurate records of safety checks, contracts, and maintenance schedules, ensuring compliance with internal and external audits.
4. Create a positive working environment by ensuring facilities align with employee needs, fostering productivity, collaboration, and well-being.
