Legal PA / Paralegal for the Property Department
We are seeking a bright, outgoing and personable Legal PA / Paralegal to join the property department of a lovely, hugely successful privately owned law firm in Mayfair. The company pride themselves on the culture they instil within the firm, their benefits, work life balance, high staff retention rates and progression within the firm are a testament to that.
They have a friendly team of 44 in their London office serving UHNW international clients. There is a large support team and team of Legal PAs who all work closely together as a team to ensure the smooth running of the office. They are looking for a warm, engaging team player who will fit in well with the team, who all look out for each other.
The company offer hybrid working with two days working from home a week. They also have nice hours which are stuck to.
Start date: ASAP but happy to wait a notice period
Salary: £40k-£45k depending on experience - there could also be some flexibility for the perfect candidate + 25 days holiday; discretionary bonus; pension; company trip abroad + away days
Location: West End and homeworking two days a week
Hours: 09:30 - 17:30
Key Legal Secretary / Paralegal Responsibilities:
* Provide efficient and accurate secretarial support to the solicitors within the Residential Property Department.
* Manage and organise case files, including electronic filing systems.
* Maintain diaries and arrange meetings, appointments, and conference calls.
* Draft, format, and proofread correspondence, legal documents, and contracts as required.
* Prepare and collate client documentation, including property searches, contracts, and completion statements.
* Assist and organise the precedent management of documents ensuring they are kept up to date with recent law.
* Handle confidential information and sensitive documents in line with data protection and confidentiality standards.
* Liaise with clients via telephone, email, and in-person to provide prompt updates on their property transactions.
* Assist clients in understanding the procedural aspects of their transactions and guiding them through this.
* Assist with preparation for client meetings, including gathering required documents and providing information.
* Assist with opening, closing, and maintain client files in line with firm policies including carrying out risk assessments, anti-money laundering searches and all relevant compliance matters.
* Process incoming and outgoing correspondence, including managing post and emails.
* Organise and manage client documentation relating to property transactions, including title deeds, contracts, and other legal documents.
* Ensure all documents are filed correctly and up to date, both physically and electronically.
* Assist in the preparation of legal documents for property transactions, such as contracts, leases, and conveyancing documents.
* Ensure compliance with property laws and regulations, including managing client instructions and keeping the solicitors informed of deadlines and statutory requirements.
* Prepare and process Land Registry applications and Stamp Duty Land Tax returns.
* Prepare searches and information on company formation and filing.
* Assist with billing and invoicing procedures, ensuring accuracy in fee calculations and timesheet entries.
* Monitor payment deadlines and assist in managing client/office accounts including BACS, CHAPS and assisting with aged debts.
* Answer telephone calls and take accurate messages.
* Coordinate with other departments within the firm such as accounts, compliance, to ensure the smooth running of transactions.
* Assist in the general smooth running of the office, including providing support to colleagues as necessary, taking post and sitting on reception as and when required.
Legal Secretary / Paralegal Skills and Qualifications:
Education and experience:
* Minimum of 8 GCSEs (or equivalent) including English and Mathematics.
* A legal secretarial qualification or equivalent experience is desirable but not essential.
* Proven experience in a secretarial or administrative role, ideally within a residential/commercial property legal environment.
* Experience with case management software and document management systems is advantageous.
Key Skills:
* Strong typing and word processing skills (minimum 50 WPM).
* Excellent communication skills, both written and verbal.
* High attention to detail with the ability to proofread and ensure accuracy.
* Strong organisational and time-management skills.
* Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
* Discretion and confidentiality when dealing with sensitive client information.
* Knowledge of residential property transactions and legal terminology.
