We are looking for a highly organised and proactive Personal Assistant to support our General Manager and Management Team. This role is key in ensuring the seamless coordination of executive activities, enhancing operational efficiency, and enabling strategic decision-making at the leadership level.
Key Responsibilities:
* Provide day-to-day executive support to the General Manager, including managing emails, diaries, and preparing documents.
* Oversee office operations, including maintenance, cleaning, security, and vendor management.
* Assist the Management Team with administrative tasks, such as coordinating travel and accommodation arrangements.
* Manage office systems, including data management and filing, and provide training to team members.
* Organise and coordinate internal and external meetings, including taking notes, preparing minutes, and maintaining action lists.
* Arrange and manage internal events, such as yearly conferences and team-building activities.
* Coordinate emergency response team availability and assist in compiling incident reports.
Principal Challenges:
* Balancing competing priorities and managing time effectively.
* Maintaining data accuracy and confidentiality.
* Building and maintaining positive relationships in a diverse work environment.
Required Skills and Experience:
* Proven experience in administrative, operations, or facilities support roles, preferably within the energy industry.
* Strong organisational skills and attention to detail.
* Proficiency in office management systems, particularly SharePoint and data management tools.
* Excellent written and verbal communication skills.
* Ability to handle sensitive information with discretion.
