Job Summary
We are seeking a highly organised and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong clerical and administrative skills, with a keen ability to manage a team effectively. We are seeking a dedicated and professional Medical Office Manager to join our busy team. The office manager will be responsible for day-to-day operations as well as maintaining medical and staff records.
As an Office Manager, you should demonstrate excellent organisational skills and the ability to perform well in stressful situations.
Responsibilities
* Supervise office staff, including receptionists and secretaries
* Maintain medical and staff records
* Liaise with clinicians to identify potential office and appointment issues
* Liaise with IT to ensure prompt resolution of issues
* Set up new users on all internal systems and software
* Manage Docman imports and workflow
* Ensure confidentiality and data protection compliance
* Ensure Health and Safety compliance
* Organise Practice work-schedules, including staff shifts and holiday rotas
* Identify overtime requirements and schedule accordingly after sign off by line manager
Requirements
* Knowledge of data and administrative processes and principles
* Maintain accurate patient records and ensure confidentiality in accordance with data protection regulations.
* Knowledge of medical issues and terminology
* Excellent organisational and time-management skills
* Strong verbal and written communication skills, demonstrating professionalism at all times.
* Proficient in using office equipment and computer software
* Ability to multitask effectively in a fast-paced environment while maintaining composure under pressure.
