Working closely with the Finance Manager, the Finance Assistant is responsible for Accounts Receivable and Sales Ledger tasks, Revenue Controls, Accounts Payable and Commissions, as well as General Cashiering. What you'll do. Sales Ledger/Credit Control : - Check SL invoices and send to customer, chase AR debt (your goal will be based on outstanding debt over 90 days), organise & hold the monthly credit meeting and prepare the minutes. Review the bank account daily and allocate any payments received, deal with disputes and queries and issue credit notes if required. Revenue Control : - Review rebates, refunds, no shows, upgrades, comp rooms, cancellations, and rate changes to ensure all within policy. Review petty cash transactions to ensure that they are posted correctly and as per Company policy. Accounts Payable: - To process supplier invoices for payment on a weekly basis. To ensure that all invoices are correctly approved and account coded. Update the PO log & upload the image into the system. To check all supplier statements on a weekly basis. To prepare the paperwork to add new vendors into the payables system. Cashiering: - Ensure cash machine stock value is sufficient for business needs. Prepare cash deposit for security uplift & order change if required. Misc. Tasks: - To support Finance Manager with balance sheet and other month end reconciliations and tasks. Includes scanning all relevant supporting back up, test counting stock and posting journals. Required to work the first of every month. To support the FM with audits. Investigate and track any cash & credit card overs and shorts, investigate and resolve. Run daily revenue report and e-mail to Managers. Post daily F&B statistical covers journal. Investigate any credit card chargebacks and collate the paperwork to defend the charge. Update food flash tracking system. Who we are looking for. We are looking for an enthusiastic, motivated individual who we anticipate will have worked in a similar role preferably within the hospitality or travel and tourism industry. The ideal candidate will be a team player who is a fast learner, adaptable and has exceptional attention to detail, interpersonal and communication skills. You will need to be extremely efficient and professionally skilled in: Timeliness and accuracy in recording and reporting Ability to verbally communicate effectively with clients, suppliers and co-workers. Ability to follow procedures and LSOPs closely Security and safety in work habits Hands on approach required Willingness to learn and develop as training will be provided. Knowledge of meetings & event management preferred Effective communication (verbal, listening, writing) and negotiation skills Strong customer development and relationship management skills Excel Skills to Intermediate level required Ability to use Microsoft Office software applications and hotel system applications (Opera, Micros) preferred. Please note that even though this is an officed based position, a certain flexibility with working hours my be required on an ad hoc basis (Weekend work may apply during month end / yearend/ late shifts may be require to check floats).
