Customer Service and Procurement Support
REPORTS TO: Reports firstly to the Finance Manager and Materials/Process Manager
JOB PURPOSE: Support the Managers and office by carrying out day-to-day Procurement and Customer Service administration. The majority of tasks will relate to order processing, production administration, purchasing, dispatch, and finance.
Responsibilities
1. Managing sales inbox/enquiries for Group Company
2. Contract review (i.e. Booking on of orders, and required associated functions)
3. Stock Management of inventory
4. Packing orders when required for Group Company
5. Raising Delivery notes for the required VCP, Harltex and Goodflex Customers
6. Assisting with booking of international shipments
7. Greeting Customers and visitors at Goodflex as the first point of contact
8. Being the first point of call for answering and directing all incoming calls for the group of companies
9. Liaising with customers to provide information on current orders with guidance from production manager and account managers
10. General support for the Directors, Managers and Office with administrative processes and Ad Hoc tasks
11. Logistics support from supporting courier issues to booking of certain couriers
12. Ensure that the Customer and Supplier areas are kept in a constant state of readiness
13. Support and work alongside the Accounts and Administration Assistant when required
14. Support with spreadsheets, administration, PDF edits, etc.
15. Responsible for checking of consumables weekly and informing the Third-Party Logistics Co-Ordinator on what needs to be ordered
16. Archiving of paperwork onto the company server
17. Update factory screen savers and notice boards with any information or KPIs that are applicable to factory staff
18. Assisting with production support & administration roles during quiet periods
Qualifications
1. Must have exceptional organisation, verbal and written communication skills
2. Candidate should be happy to get ‘hands on’, working on the shopfloor to assist with packing orders
3. Should be highly driven, motivated, and work in a structured way
4. Must maintain being polite and professional
5. A positive attitude is vital, with a desire to learn and develop
6. Good level of IT and analytical skills are required in order to fulfil this role
7. Knowledge of Microsoft Word, Outlook, and Excel is required
8. Confident presenting everything to a high-quality standard at all times
9. We are looking for a proactive team player with confidence when speaking with customers
10. Previous experience within an office environment or similar role preferred
