About the Role:
We are seeking an experienced Assistant Operations Manager to join our team in London. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day delivery of property operations.
Key Responsibilities:
* Provide exceptional customer service to occupiers, engaging with their operational teams and ensuring high-quality delivery in accordance with lease obligations.
* Supervise the day-to-day service delivery of contracted services, including security, cleaning, window cleaning, and reception.
* Plan and chair contractor performance reviews and tenant 1-1 meetings.
* Oversight of the Service Desk facility, ensuring a customer-centric approach with timely and effective resolution of reported matters.
* Lead by example, promoting an operational vision that benefits occupiers, visitors, and all other users of the property.
* Proactively build relationships and understand tenant business needs.
* Plan and deliver annual fire drill strategy, coordinating stakeholder needs.
* Support the company's Activate and Accelerate strategies at property level.
* Lead and manage small works, tracking scope, cost, and program.
* Deputize the Operations Manager in their absence.
* Supervise and motivate the operations team to achieve exceptional results.
Financial Management:
* Monitor and reconcile service charge budget lines, consulting with the Operations Manager.
* Support the effective administration of contracts and purchase orders.
* Maintain proper records of expenditure and spending commitments.
Systems & Processes:
* Support the company's Health and Safety initiatives.
* Deliver sustainable best practice in all areas of responsibility, assisting in achieving ESG targets and objectives.
* Familiarity with building layouts, undertaking inspections, and initiating/proceeding required works.
* Assist in ensuring health and safety compliance at the Property using the H&S Management System.
* Deal with property communications in a timely and efficient manner.
Requirements:
* Reasonable availability outside normal working hours for emergency situations.
