We are currently looking for an International Payroll Specialist to be based out of our London office. They will be responsible for the maintenance of all payroll records and the processing of international payrolls including Abu Dhabi, Brussels, Dubai, Frankfurt, Geneva, London, Paris, Riyadh, Singapore, Sydney, Tokyo (total of 350 employees).
KEY RESPONSIBILITIES:
* Manage vendors, coordination, quality assurance and oversight for global payroll operations utilizing a third-party payroll provider (e.g. Payslip.com).
* Provide back-up and overflow assistance to the Payroll Accountant for GL issues.
* Champion process improvement, modifications, updates and enhancements in technology and vendor applications to ensure optimal performance in the delivery of payroll services.
* Support senior management with specific data reporting needs.
* Deliver on continuous payroll improvement.
* Facilitate the integration of new/updated payroll processes and/or vendors into the payroll operating model.
* Coordinate with Partners, customers, and key stakeholders (HR Operations, Finance, Internal Audit, HR, IT and Management) to ensure integration, efficiency and effectiveness of the delivery of global payroll services as well as addressing business needs with a customer focused and compliant disposition.
* Ensure Internal Audit controls and documentation are correct and comprehensive.
* Oversee assigned payrolls and processes.
* Administer all payroll aspects for assigned international payrolls:
o Primary contact for international Directors of Administration, HR Managers, and international payroll service providers.
o Review HRIS and Payroll Systems of Record (e.g. Payslip/Workday) for consistency and accuracy with offer letters, departures, and changes.
o Prepare monthly workbooks (Excel) for each office payroll.
o Assemble all new hires, banking changes, departures, and other changes.
o Import time sheet data from Time & Attendance system.
o Maintain deductions for benefits, loans, etc.
o Balance detail loan schedules with the general ledger.
o Transmit payrolls to providers.
o Review draft payrolls for accuracy.
* Maintain current documentation for all international payroll procedures.
* Furnish upon request, employment verifications by telephone and written requests on all employees.
* Respond to requests for HRIS, Payroll, and Time and Attendance system password resets.
* File appropriate payroll documents into Workday.
QUALIFICATIONS:
* BA/BS required.
* Minimum 5-7 years of increasing responsibility in Global payroll functions both in-house and with third-party payroll providers.
* Experience across a broad spectrum of Global payroll products. Workday experience is strongly preferred.
* International payroll experience.
* Expert knowledge of payroll principles, compensation, tax and regulations.
* Experience in Global payroll taxes and basic accounting.
* Excellent understanding of the critical success factors for payroll operations, including managing effective and efficient payroll services both internally and provided by external payroll providers.
* Knowledge and experience in Global payroll: controls, compliance, wage and hour laws, payroll processing, time and attendance, and Global countries year end requirements.
* Detail oriented with ability to apply procedures and policies to various situations.
* Demonstrated customer service skills, ability to relate effectively and tactfully with all levels of personnel.
* Ability to manage multiple priorities with frequent interruption.
* Ability to communicate effectively in both oral and written communications.
* Ability to work individually and as a team member.
* Experience with time and attendance systems preferred.
* Work experience in a legal environment preferred.
* Experience working with a Global Payroll Aggregator / outsourced vendor preferred.
OTHER:
* Willingness and availability to work overtime as required.
* Manage record storage cartons requiring lifting of up to 25 pounds.
