The difference you will make as a Portfolio & Systems Admin The Portfolio & systems administrator is responsible for providing administrative support to the Business Transformation department, alongside maintaining the project and portfolio management (PPM) system, ensuring effective operation to support project, programme and portfolio management activities. As part of a vibrant and high achieving Portfolio Management Office team (PMO), the post holder will also be responsible for ensuring data quality and providing user support training to portfolio stakeholders. Role Profile Provide administrative support for portfolio governance processes, including scheduling and organising meetings, preparing agendas and taking minutes Assist with the preparation of reports to track portfolio performance Schedule and track key portfolio milestones, deliverables and deadlines to ensure governance requirements are met Assist with the setup and running of workshops, training sessions and meetings related to portfolio management processes Support the configuration, maintenance and updates related to the PPM system Monitor system performance, troubleshoot issues and liaise with system support services as required Develop and deliver communication updates, training sessions, user guides and maintain documentation to support effective PPM system use Prepare and distribute portfolio updates, including the PPM tool newsletter to stakeholders on a regular basis Stay up to date with PPM system updates and new features, advising the department on how to maximise capabilities Provide first line support to PPM tool users, resolving queries and troubleshooting issues in a timely manner Assist with the timesheet process, working with the resource analyst to ensure timely submissions Onboard and off board new members, arranging equipment, system access and introductions with relevant Business Transformation teams Identify opportunities to streamline administrative processes and improve the efficiency of portfolio operations Work independently and in collaboration with the PMO team to contribute to overall team performance. Person specification Knowledge, Skills and Experience The post holder should possess an awareness of project management methodologies alongside experience in providing professional administrative and system support to a department.
