We are delighted to offer you an opportunity to join our Employment Support Service within the Staffordshire and Stoke-On-Trent Talking Therapies Service as Team Administrator.
We are seeking individuals who are enthusiastic, compassionate, flexible and creative in their approach, who can work alongside team members to provide high quality and effective administrative support. You will play an integral part of the team as a highly skilled and organised administrator with demonstrable, keen self-management skills in a varied range of administrative duties and act as a focal point for communication.
The service provides life changing support to those struggling with depression, stress, anxiety, low mood, worry, phobias and other mental health and emotional issues and to those adjusting to living with a long term medical condition.
Main duties of the job
You will be the first point of email and telephone contact for the Employment Support service users and carers, prioritising responses and supporting theEmployment Advisors with patient enquiries and booking of appointments.
You may also experience dealing with enquiries which may at times be of a distressing nature/verbally aggressive and require sensitive handling.
Strong IT skills are vital so you should evidence your experience of using a database and Microsoft Outlook, Excel and Word on your application.
As part of this role you will be expected to:
1. Devise administrative systems to support the team in a changing business environment.
2. Provideconfidential secretarial and organisational support to all staff.
3. Maintain outlook calendars.
4. Use a range of office equipment including the use of computerised data systems and word processing facilities.
5. Carry out general office duties including photocopying and dealing with / ordering stationery levels and team supplies.
6. Process referrals to the team and update patient files as and when required.
7. Take minutes of meetings, transcribe minutes and distribute to team members
