Job Summary
We are seeking a highly professional, discreet, and experienced Executive Assistant to support an Ultra High Net Worth (UHNW) individual who is also the CEO of a leading ideas-led investment group based in Lytham St. Annes.

This role involves providing seamless support across both professional and personal domains, ensuring the CEO’s complex schedule, international travel, and personal matters are managed with precision and confidentiality.
The ideal candidate will possess exceptional organizational skills, adaptability, and the ability to manage high-pressure situations with poise. The role requires someone who is resourceful, proactive, and capable of working independently while maintaining clear and frequent communication with the CEO and other key stakeholders.
Key Responsibilities
Diary Management
* Coordinate and manage the CEO’s busy professional and personal calendar, ensuring all meetings, events, and appointments are accurately scheduled and prioritized.
* Act as a gatekeeper, ensuring the CEO’s time is used effectively by screening requests and prioritizing commitments.
Travel Coordination
* Assist with planning international travel arrangements, including flights, hotels and other accommodation, visas, ground transportation, excursions and detailed itineraries.
* Ensure flexibility in case of last-minute changes or disruptions to travel plans.
* Handle personal travel requirements for the CEO and their family when necessary.
Communication and Correspondence
* Serve as the first point of contact for internal and external communications, ensuring messages are relayed accurately and promptly.
* Draft, review, and edit correspondence, presentations, and reports on behalf of the CEO.
* Liaise with key stakeholders, board members, investors, and senior executives.
* Maintain a high level of confidentiality and discretion in all communications.
Personal Support
* Manage and coordinate the CEO’s personal affairs, including family schedules, events, and appointments.
* Assist with personal errands and special projects as required.
* Liaise with household staff, vendors, and service providers to ensure personal matters are handled efficiently.
* Manage personal purchases, gifts, and special occasions.
Administrative and Office Management
* Maintain meticulous records of expenses, invoices, and reimbursements for both business and personal accounts.
* Assist with ad hoc administrative tasks, ensuring the smooth operation of the CEO’s professional and personal life.
* Coordinate with other support staff, such as other assistants or office personnel, to ensure alignment across the CEO’s commitments.
Required Skills & Qualifications
* Experience: Minimum of 5 years’ experience as an Executive Assistant to a senior executive, preferably within a financial or investment environment.
* Discretion: Proven ability to handle highly confidential information with integrity and professionalism.
* Organizational Skills: Exceptional ability to manage multiple priorities, tasks, and deadlines with attention to detail.
* Communication Skills: Strong verbal and written communication skills, with the ability to interact confidently with high-profile individuals.
* Technical Proficiency: Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). Experience with scheduling and travel management tools is a plus.
* Problem-Solving: A proactive and resourceful approach to problem-solving, with the ability to anticipate needs and act accordingly.
* Flexibility: Willingness to be on-call outside regular office hours and respond to urgent matters as needed.
* Travel Readiness: Ability to travel occasionally with the CEO if required.
