1. Main Purpose of the Job
* To provide full range of client services in a business centre, focusing on the company’s key objectives of providing high quality client service, working with the Centre Team to ensure that all client service requirements are met
2. Job Profile
* The Admin Coordinator role is pivotal to the success of the Business, you will have responsibility for providing a consistently high standard of customer care to the internal & external clients of the centre(s) & is therefore an ambassador for the Business
* You will work as part of a team to provide the full range of operational & customer services on a day-to-day basis, this role has a strong focus on the accounts functions within the business, you will support the Manager & will deal with complex client issues & such matters such as the staff rota, managing holiday periods, breaks, move ins & move outs
* A high standard of personal presentation & effective, articulate communication is essential as the admin Coordinator will be responsible for providing first-line customer care on a daily basis, representing all of the clients that use the centre
* You will be a part of the Centre Team who are responsible for ensuring the operation runs smoothly & efficiently through involvement in: services, standards, facilities, security, health & safety, IT & telecommunications, house-keeping, meeting & conference rooms set up, and general client support, eg, post, telephone answering, meeting & greeting visitors, responsible for ensuring a high standard of service delivery is provided in all of these areas to maximise revenue generation
* The close working relationship with the Centre Manager & the team will be the key to the success of this role & the centre, with the ability to develop & maintain relationships with clients, other Business staff & suppliers is paramount, therefore, the ability to communicate effectively at all levels is essential
3. Key Responsibilities of the Job
* Accounts - Cash handling, banking, invoicing, chasing payments, arranging supplier payments, attention to detail is essential
* Business Services & Administration - Ensure that Clients are made aware of all Business services within the Centre & is able to book these, whilst providing a high standard of customer service & accurate records to be maintained for billing purposes
* Participate in the demonstration of Centre services to prospective clients & attend client breakfasts & meetings as appropriate
* Customer Care - A high level of customer care & satisfaction is the main focus of this role, ensuring that the levels of service meet expectations & service levels as defined by the Business
* Ensure that clients, visitors & suppliers receive a positive first impression of the Centre by effective telephone answering, meeting & greeting & timeliness, speed & delivery of service, anticipating clients’ needs
* Facilities Care & Security - Housekeeping is carried out regularly to ensure the centre is kept clean at all times & presented in the best possible manner, clear meeting & conference areas of catering & dispose of waste according to Business procedures
* Organising furniture & other associated items in line with client requirements & Business Lodge procedures
* Security procedures are followed to ensure the security & welfare needs of those using the centre are met
* Health & Safety - Adhere to all aspects of Health & Safety of the centre from both client & staff perspectives
* Follow policies, procedures & attend H&S training as dictated by Business & current H&S legislation, maintain records & support in the preparation of reports & audits & ensure matters are addressed as they arise
* Information Technology & Telecommunications - Operate & provide IT & Telecommunications solutions to clients in line with Business guidelines
* Setting up telephone & internet connections, troubleshooting problems
* Ensure information is accurate for month end billing
* Meeting & Conference Rooms - Manage daily bookings to ensure catering & other requirements are met & delivered on time
* Servicing the rooms by ensuring that set up is correct & maintained throughout the client stay, food & beverage handling, preparation & clearing for client meetings & events
* Planning & Organising - Effective planning & organising of time & tasks in line with needs of the team, the clients & the Centre
* Reception Services - Work on the centre reception as the first point of contact for internal & external clients & visitors to the centre
* Operate reception in line with Business policies & procedures
* Provide services for internal & external clients, including document & presentation preparation, mail handling & sorting & sending, courier bookings & pick-ups & deliveries, booking of meeting rooms
* Advise incoming visitors of health, safety, security & other related procedures relating to the centre, deal with incoming telephone traffic & route quickly & correctly in line with Business policies & procedures
* Support new starters with training & coaching on job
* Maintain high levels of team spirit & be a team player, foster effective relationships with other team members to ensure the needs of the clients & the operations are always met
* Co-ordinate holidays & training cover & carry out any other duties & reasonable requests as required
* Training, Coaching & Development - Participate in centre & company training programmes, actively pursue training & development opportunities to drive self-development
Must live in / very close to Bury, Greater Manchester & be happy to work on site Mon - Fri.
08.00-17.00 or 08.30-17.30 or 09.00-18.00. (8.5hrs per day, 30 mins for lunch). Business dress, with dress-down Fridays
