An exciting opportunity has opened to join the Radiotherapy Education team based at the Christie NHS Foundation Trust in Manchester as a Radiotherapy Education Administrator. This role will be a fixed term position of 12 month (to cover maternity).
The Education Administrator will work closely with the Radiotherapy Education team. They will be responsible for providing high quality administrative support within The Christie Radiotherapy Education Team in the organisation and delivery of training to pre-registration and registered healthcare professionals. The post holder will be responsible for the administrative and operational support for a varied and busy programme of activities including administrative support for new staff joining the main Radiotherapy department.
Duties of the Radiotherapy Education Administrator will include:
• Course Administration & Coordination – to support the organisation of educational activities locally and nationally.
• Maintain Accurate Records – to actively engage and manage data regarding educational activities, which will include using information technology systems and databases
• Communication – to liaise with stakeholders via telephone, email and face to face interactions to ensure high quality educational activities.
• Marketing support – to promote educational and development programme to diverse stakeholders.
The post holder will along side the Radiotherapy Education team to support and development healthcare workforce, which will include working flexibly around business needs.

Course Administration & Coordination
• To be the first point of contact (telephone, direct and written) within the team. Responding to enquiries from colleagues and external organisations, in a professional, timely and customer-focused manner
• Complete the registration process for the programme of courses to include; creating booking sheets, sending out pre course materials where applicable, and monitoring booking systems
• Attend meetings and follow up on action points
• Contact speakers to confirm agenda times as instructed, ensuring presentations are submitted in a timely manner
• Preparation of facilitator and delegate materials
• Secure and book suitable facilities for courses
• Provide support for on the day coordination of courses to include; registration, catering and speakers
• Produce evaluation reports for courses and feedback to managers
• Set up course offerings on the Trust education database
• Creating relevant documents to support delivery of courses, such as attendance sheets, course materials and evaluation tools
• Help to resolve issues of an urgent nature relating to course delivery
Maintain Accurate Records
• To be actively involved in the support of the education database project maintain its accuracy
• Input financial data and maintain accurate records in relation to raising invoices and card payments
• Ensure all course registration processes are up to date and accurate
• Use of electronic booking systems
• Responsible for requesting and recording all temporary staffing, and students attendance and absence in the electronic system
• Input monthly performance data for reporting purposes
Communication
• Provide front of house support on the course days (at the time specified), being the first point of contact with delegates and speakers
• Escalate issues or concerns and help to resolve, as appropriate
• Attend and contribute to team meetings for the purpose of reviewing the departmental activity and sharing general information
• Frequent phone, face to face and email communication is required to liaise with stakeholders to include; course facilitators and delegates
• Contribute to, and maintain, a positive working team environment
• Be a representative for the Radiotherapy Education Team maintaining high quality standards & customer service
• Maintain excellent working relationships with stakeholders
Marketing support
• Utilise social media to promote workforce education
• Monitor the Radiotherapy Education Team webpage to ensure all information is current and correct
• Promote education and development programmes to key stakeholders
General
• Communicate with colleagues in a clear concise manner
• Undertake, and assist with, educational activity projects as required
• Meet and greet delegates attending courses, where applicable
• Take telephone queries relating to any education courses or programmes and informing appropriate personnel as required
• Take a proactive attitude to your personal development and attend relevant mandatory updates
• Demonstrates the agreed set of values and accountable for own attitude and behaviour
• Work flexibly around the business needs, to include early mornings and evenings on an ad hoc basis
