Working within a well-established professional services firm seeking a proactive Office Administrator to join their Support Staff Team. This role is perfect for individuals with administration, customer service, or office support experience who thrive in a structured, fast-paced setting.
Key Responsibilities – What You’ll Be Doing
Client Coordination & Customer Service
Handle and manage incoming client enquiries via phone and email.
Serve as the first point of contact for new clients, promoting the services professionally.
Guide clients through services.
Assist with file management, data entry, and sending initial client documentation.
Process and handle Free Advice calls, opening related client files.
Maintain and update our CRM system, marketing database, and internal records.
Extract and analyse data to create accurate client reports.
Support marketing campaigns by managing client outreach and data tracking.
General Office & Administration Support
Answer reception calls and direct inquiries appropriately.
Manage meeting room bookings and diary scheduling.
Welcome and sign in visitors in a professional manner.
Assist with post room duties, scanning, faxing, and document management.
Handle court runs, incoming/outgoing mail, and document filings.
Liaise with IT, HR, and Finance for admin-related processes.
Undertake any other office administration tasks as required.
What We’re Looking For – Essential Skills & Experience
Minimum 2 years’ experience in administration, office support, or customer service roles.
Strong communication and customer service skills, with a confident and professional telephone manner.
Excellent time management skills, with the ability to work under pressure and prioritise tasks effectively.
Strong attention to detail and organizational skills.
A team player with a proactive and problem-solving approach.
Experience in the professional services sector (legal, finance, consultancy, etc.) is advantageous.
Proficiency in Microsoft Office (Excel, Word, Outlook, PDF software) and CRM systems.
Minimum qualifications: 5 GCSEs (including Maths and English); A-levels in Maths and English preferred.
