An exciting opportunity has arisen for a Rota Support/Support Secretary to join our team on a part time permanent basis.
This support role is responsible for provide administrative support in all aspects to the Obs & Gynae Rota Co-ordinator and Clinical Director for Obstetrics and Gynaecology Directorate, ensuring assistance is provided when needed and all duty rotas are up to date.
To provide support to the Rota Co-Ordinator for O & G Medical Staffing and also support with O & G typing. Also managing doctors mandatory training and medical staffing sickness.

• To provide cross cover for the Obs & Gynae Rota Co-ordinator during periods of absence, ensuring that there is medical cover provided across the Directorate.
• Amending doctors rotas as and when required, arranging locum doctors to cover.
• They manage the doctors rotation and induction in the Obstetrics Gynaecology Services, supporting with eRoster, maintaining annual leave records and managing sickness absence along with the Consultants.
• Responsible for ensuring that all doctors in the Directorate are up to date with all training required for the role.
• This is inclusive but not limited to, Mandatory Training, PROMPT ANTT, K2, Gap and Grow.

We provide the Mersey Regional Burns & Plastic Surgery Unit at Whiston Hospital and the Spinal Injuries Unit at Southport Hospital to more than 4 million people across the whole of Merseyside, West Lancashire, Cheshire, Isle of Man and North Wales.

KEY DUTIES
• To provide cross cover for the Obs & Gynae Rota Co-ordinator during periods of absence, ensuring that there is medical cover provided across the Directorate.
• Amending doctors’ rotas as and when required, arranging locum doctors to cover.
• Support the Doctors Rotations and inductions.
• Support with eRostering, maintaining annual leave, study leave and sickness absence.
• Responsible for ensuring that all doctors in the Directorate are up to date with all training required for the role. This is inclusive but not limited to, Mandatory Training, PROMPT, Fetal Surveillance, ANTT, K2, Gap and Grow.
• When required effective verbal and written communication should be always maintained by extracting the correct and relevant information to deal successfully with queries/requests from GPS’s, staff, patients, relatives and other agencies. Show empathy when dealing with calls of a distressing nature.
• Type dictation from audio transcription of clinical correspondence and documentation. Ensuring appropriate follow up arrangements/investigations are in place and following Administration Standard Operating Procedures.
• Complete any Tertiary Referrals to external Trusts and ensure these are completed on PAS system. Keep track of referrals to ensure patient is reviewed promptly. Check that follows up appointments are arranged in conjunction with Referral to Treat (RTT) patient pathway.
• Taking minutes of meetings as and when required and circulating to relevant groups.
• Be able to work as part of a team, promote effective flows in the department to cover leave to ensure office runs smoothly.
• General office duties including dealing with incoming and outgoing mail, e-mail and photocopying for self and for the team. Participate in housekeeping of the office environment.
• Attend appropriate training, meetings, and education sessions at the request of manager.
