Job Title: Office Administrator/Secretary (Self-Employed, Part-Time) Location: Cookstown Hours: 16-20 hours per week Job Overview: We are looking for a diligent and detail-oriented Office Administrator/Secretary to support our charitys operations on a self-employed basis. This role is crucial for maintaining communication, records, and overall office organization while supporting our patients and families. Key Responsibilities: Email Management: Oversee the charitys email system, acknowledge incoming emails, refer to the committee where necessary, and respond promptly. Follow up within two days if replies are pending. Diary Management: Act as a reminder for responses and keep track of committee members' tasks. Call Documentation: Record all incoming calls, including the source of referral and background information about the caller. Database Maintenance: Record and update details of new members, ensuring compliance with GDPR. Fundraising Tracking: Monitor platforms like Just Giving and GoFundMe daily, advising the committee of new fundraisers and maintaining records. Patient & Family Support: Provide compassionate support via email and telephone. Cheque Presentations: Coordinate and arrange cheque presentations, providing detailed background and multiple date options. Donation Processing: Liaise with the treasurer for donation records, send thank-you letters, and maintain a donation spreadsheet per the set template. Weekly Reporting: Compile a weekly report for the committee, requesting updates and upcoming plans from each committee member. Social Media Awareness: Stay updated on new developments in brain cancer research, especially for newly diagnosed patients. Committee Meetings: Prepare and circulate agendas in advance, take meeting minutes, and ensure hard copies are filed. Event Planning: Organize meetings, outings, and the AGM. Notify members of upcoming events and maintain attendance records. Promotional Material: Track and maintain stock of all promotional materials. Charity Records: Keep Charity Commission records updated. Newspaper Advertisements: Request deadlines and pricing for charity advertisements as needed. Merchandise Handling: Send out charity merchandise to fundraisers. Office Organization: Ensure the office remains tidy and well-organized. Essential Skills and Requirements: Administrative Experience: Previous experience in office administration or secretarial work, ideally within a charity or similar environment. Organizational Skills: Highly organized with strong attention to detail and time management. Communication: Excellent written and verbal communication skills. IT Proficiency: Skilled in Microsoft Office Suite, database management, and email systems. Social Media Awareness: Familiarity with social media and an interest in keeping up with brain cancer research is beneficial.
