Job summary
We are looking to increase our reception team to meet the needs of our expanding practice population. This post is for 10 hours per week over 2 days (Monday afternoon and Tuesday morning) with availability to work on Saturday mornings on a rota basis.
Our team of 8 receptionists provide an important first point of contact for our patients. Excellent customer service and an empathetic approach to our patients is essential to helping us maintain our high standards.
Interviews for this position will be held on Thursday 20th March 2025.
Main duties of the job
To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.
To act as the central point of contact for patients, be responsible for the distribution of information, messages and enquiries for the clinical team, liaise with multi-disciplinary team members and external agencies such as secondary care and community service providers.

Queens Avenue Surgery is located close to the centre of Dorchester and to Dorset County Hospital. We are based in a beautiful Victorian property which is well equipped and modernised but still manages to retain its period features.
Our 7 Partners and one Salaried GP look after over 8700 patients from Dorchester and the surrounding villages. We are a training practice and support trainee doctors and medical students on a regular basis. We have a high satisfaction rating in national surveys and excellent feedback from our patients.

Job responsibilities
The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
* Maintain and monitor the practice appointment system
* Process personal, telephone and e-requests for appointments
* Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
* Signpost patients to the correct service
* Initiating contact with and responding to, requests from patients, team members and external agencies
* Code data on the clinical IT system
* Action incoming emails and correspondence as necessary
* Scan patient related documentation and attach scanned documents to patients healthcare records
* Complete opening and closing procedures in accordance with the rota
* Support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
* Photocopy documentation as required
* Data entry of new and temporary registrations and relevant patient information as required
* Input data into patients healthcare records as necessary
* Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team
* Manage all queries as necessary in an efficient manner
* Carry out system searches as requested
* Maintain a clean, tidy, effective working area at all times
* Monitor and maintain the reception area and notice boards
* Support all clinical staff with general tasks as requested

Experience
Essential:
* Experience of working with the general public
Desirable:
* Experience of working in a GP Practice/other healthcare setting
* Experience of carrying out administrative duties
Qualifications

* GCSEs (grade A to C) in English and Maths
