As part of our continued commitment to excellence, we are seeking a Senior Project Coordinator to join our Project Management Office (PMO), ensuring the seamless delivery of projects from concept to completion.
The Role
As Senior Project Coordinator, you will be at the heart of our project administration, coordination, and commercial management, supporting the Project Directors in delivering exceptional bespoke joinery and interior design projects. This role requires precision, strong organisational skills, and a strategic mindset to ensure projects are delivered on time, on budget, and to the highest standards.
Key Responsibilities
1. Project Coordination & Communication
* Organise key project meetings, ensuring the right stakeholders are involved, agendas are set, and documentation is prepared.
* Act as a key liaison between internal teams, clients, and suppliers, ensuring smooth project execution.
1. Management of Quotes & Contracts
* Oversee the preparation and submission of estimates, quotations, and contracts, ensuring accuracy and alignment with commercial strategy.
* Analyse supplier and subcontractor quotes, negotiating terms to meet project and business objectives.
* Maintain accurate, well-organised, and up-to-date project documentation, ensuring easy accessibility for the team.
* Identify, assess, and mitigate potential project risks, such as cost increases or supply chain delays.
2. Budget & Cost Control
* Track project expenditure and manage procurement within allocated budgets and timeframes.
* Ensure purchase orders are raised in good time and high-value items are signed off by Project Directors.
3. Reporting & Performance Tracking
* Provide detailed monthly reports to the Project Director and Finance team, tracking key commercial indicators and project performance.
* Build and maintain strong relationships with suppliers and subcontractors, ensuring adherence to Artichoke’s high-quality standards and delivery timelines.
* Negotiate favourable terms on behalf of both the company and clients.
4. Contract Management & Amendments
* Carefully manage and track contract variations, ensuring amendments are prepared and issued in a timely manner.
5. Professional Representation
* Represent Artichoke with professionalism and discretion, both internally and externally.
Key Skills & Attributes
* Analytical mindset with a problem-solving approach.
* Meticulous attention to detail and a commitment to accuracy.
* Financially astute and commercially aware, with strong numerical skills.
* Proficiency in Microsoft Office, particularly Excel (intermediate to advanced level), and experience with Project Management Systems.
* Knowledge of manufacturing processes, materials, and costing (desirable).
* Strong time management skills, with the ability to work under pressure.
* Confident communicator with the ability to collaborate effectively.
* A positive, flexible, and can-do attitude.
* Discretion in handling sensitive information.
* Professional, calm, and composed manner.
Experience & Qualifications
* Proven experience in a senior project coordination role within a similar field.
* A background in design and manufacturing is beneficial but not required.
Working Hours: Full-time (40 hours), flexible working hours.
Holidays: 24 days + bank holidays (increasing with years of service).
