An exciting new role has become available based at our Rosehill, Carlisle site. The role will provide comprehensive administrative support to the Retail Director.

The Job
This role will provide comprehensive administrative support to the Retail Director and ensure the efficient co-ordination of all aspects of retail and commercial administrative tasks, including PA duties and communications. The ideal candidate will be a skilled multi-tasker with a keen eye for detail and a passion for supporting the smooth operation of our retail and commercial activities.
* Handling and protection of information of a confidential nature.
* Provide secretarial and administrative support to the Retail Director, being the first point of contact, handling calls, emails, and correspondence, scheduling appointments, meetings and travel arrangements.
* Assist in coordinating and managing business projects as assigned by the Retail Director and Commercial Manager.
* Co-ordinate the collation and distribution of commercial performance reports and analysis.
* Maintain and update commercial records and databases, ensuring accuracy and confidentiality.
* Support the Commercial Manager in managing supplier contracts, purchase orders, and invoices.
* Maintain the Commercial Manager and Senior Commercial team’s holiday planner on behalf of the Retail Director.
* Draft and prepare emails, reports, and other documents on behalf of the Retail Director.
* Take a lead role in the organisation of all aspects of commercial meetings, to include preparing materials, booking venues and liaising with attendees.
* Assist in creating and maintaining a library of preferred suppliers for the main services, including all compliance documentation and due diligence requirements.
* Act as a central point of contact for retail and commercial teams, facilitating effective communication and collaboration.
* Co-ordinate the distribution of key communications, including newsletters, updates, and announcements, and ensure they remain consistent with the company’s branding and messaging guidelines.
* Support the planning and execution of retail and commercial events, including launches, promotions, and training sessions.
* Assist in the development and maintenance of internal communication channels, such as SharePoint.
* Adhere to Company and Group policies and procedures, including but not limited to those relating to Safety, Health and Environmental.
* To ensure all relevant legislation and approved codes of practice, are adhered to in respect of ongoing compliance, including but not limited to UFAS, FIAS, & NOPS assurance schemes.
Skills, Experience and Qualities Required
* Proven experience in a PA/Senior administrative role.
* Experience of D365 systems would be advantageous.
* Strong decision-making and problem-solving skills.
* Tenacity to see projects through to conclusion.
* Able to build strong and effective relationships with colleagues.
* Commitment to confidentiality and a high degree of integrity.
* Able to travel to sites across the UK as and when required.
* Ability to work in a fast-paced environment.
* Able to interpret complex data sets.
* Ability to communicate effectively with all levels across the organisation.
