Crest Nicholson have an exciting opportunity for an experienced Administrator / Document Controller to join our Special Projects team as a Group Production Administrator. Key Duties & Responsibilities involved: Ensure that drawings are uploaded for each project on time. Create and maintain a schedule of projects ("Projects Schedule"), their Zutec status, and the critical dates (advised by Group and Divisional PMs) for Zutec setup and deployment in each case. Divisional Senior Technical Managers will supply the elevational drawings to the Group Production Administrator requesting the project set-up. The Group Production Administrator will then be requested to upload all drawings onto Zutec to enable the recording of all external remediation works. Liaise with Group and Divisional PMs to ensure that Projects Schedule is consistently updated with current information. Divisional Senior Technical Manager will also supply the floor plans to the Group Production Administrator which will require uploading onto Zutec to record any internal fire door remediation works. Liaise with Group and Divisional SPMs to ensure that Projects Schedule is consistently updated with current information. Ensure a review is undertaken of supplied drawings to ensure appropriateness and correctness prior to upload to FV platform. It is the responsibility of the Group Production Administrator to ensure that task specific drawings are uploaded prior to commencement of 'The Works' and are of acceptable quality. Should Servicedesk require support, the Administrator may be required to assist with these uploads and project set-up. Zutec Pre-start meeting at regional office. Liaise with Divisional STMs to collate and maintain lists of subcontractors for each project who require ZUTEC access (using Projects Schedule). Together with the Divisional Build Manager attend a 'Project Zutec' meeting at the divisional head office. At this meeting the Project team (Build Manager, Site Manager, and all project specific contractors and sub-contractors) will be required to attend, bringing with them, their tablet or mobile device of choice. During the meeting Zutec will be loaded to each individual device, ensuring that the invitations from Zutec are accepted, and project access is established. Should a contractor be unavailable to attend, the above process should take place soon after and prior to project start via a Teams call. During the above meeting the Zutec training slides and appendix J Rev 2 must be delivered ensuring that all involved leave with full understanding of what is required and what good looks like. Using Projects Schedule, track/monitor subcontractor acceptance and setup (ensure invites sent, accepted, and users have Zutec installed and set up correctly for each project). Zutec Reporting on site. As work commences on every project, the Group Production Administrator may be requested to attend site and whilst accompanied by the site manager undertake an initial review ensuing that accuracy, clarity, and frequency of recording is of an acceptable quality. This must be recorded and shared with the division (Good and Bad). The Group Production Administrator must regularly review the forecasted start dates of divisional projects and share with the greater quality team. Following the initial quality check and report, which is recorded within folder 21, a date must be provided to the divisional quality manager, informing them that the project is ready for a group review. Undertake periodic meetings with Build and Technical managers to discuss results of monitoring, for Build/STMs to take action and report onwards accordingly. A biweekly desktop review must be undertaken on any live project ensuring that the reporting quality continues to meet the standard required for the golden thread of information. ALL shortfalls must be reported immediately to the division, requesting improvements are implemented prior to payments to the appropriate contractors. Zutec Recording Process Create and maintain a schedule to include ALL projects and their Zutec status, starting with the production and uploading of relevant drawings onto Zutec and then following the whole process through to the signing off the last item on ensuring that all records are suitable for the golden thread of information. This schedule should be available of anyone to view at any time. PEP reviews During the initial Site Zutec review meeting, the Group Production Administrator must ensure that the PEP is reviewed. The PEP must be up to date and fully signed by the Divisional SHE manager, and the Remediation Build Manager, Quantity Surveyor, and Senior Technical Manager. The final page and approval to commence must be signed by the Divisional Managing Director, Build Director, Commercial Director, Technical Director, Customer Services Director and the Divisional SHE manager. If there are any missing signatures this must be brought to the attention of your group manager. The final two pages hold the signatures. Key skills and experience required for this role: Administrative or Document Control experience gained with a Housebuilder or Main Contractor Knowledge of / experience of using Zutec would be a preference, but we will also consider applicants with knowledge / experience of software packages such as Fieldview Excellent time management and organisation skills Proven ability to work well under pressure Competent using Excel Strong communication skills with both internal and external stakeholders Intermediate IT skills in addition to Excel with Word, Outlook, PowerPoint Able to be flexible by multi-tasking and re-prioritising tasks accordingly Excellent attention to detail and accuracy Highly professional and confident manner Reliable and punctual Proactive approach to solving issues Customer service focused The Company Crest Nicholson is a leading developer of quality homes and thriving, sustainable communities.
