The Design Museum’s vision is a world in which design enables this planet and its inhabitants to thrive. Future Observatory is the museum's national programme for design research supporting the UK’s response to the climate crisis. Delivered in partnership with the Arts and Humanities Research Council (part of UKRI), Future Observatory funds, commissions and curates cutting-edge design research for broad audiences, making design research for the green transition accessible and engaging and enabling it to have a greater impact.
Job scope
The Future Observatory Coordinator serves as a key point of contact for project participants, supporters, as well as colleagues across the museum and UKRI. The successful candidate will be a flexible team player, capable of adapting quickly in a fast-paced programme. The role requires a highly organised person who can use their initiative and work autonomously.
Job Description
Participant support and project co-ordination
1. Work closely with the Programme Manager, to support the programme and communicate with participants, researchers and stakeholders;
2. Provide administrative support including diary management, research and meeting preparation;
3. Provide administrative support for internal events such as roundtables, forums and AHRC/UKRI delivery meetings and prepare information packs and materials for participants and stakeholders;
4. Gather and relay participant feedback to enable continuous improvement to the programme;
Programme and project delivery
1. Work with the Programme Manager to embed administrative structures, templates and processes to ensure efficient programme delivery;
2. Assist with project communications via the website, newsletter and social media working in collaboration with the Communities Manager and the museum’s communications team;
3. Coordinate events bookings and logistics for specific external and public events such as engagement and outreach, communications and campaigns and off-site event participation;
4. Attend and represent the team at internal and external meetings as required, and provide documentation such as minutes, actions, and agendas.
Record keeping and reporting
1. Maintain accurate project records, including contributing to budgets, timelines and progress monitoring;
2. Support with contracting, financial administration and record keeping, by issuing documents and requests to partners and suppliers, logging expenditures and liaising with finance and the programme manager to resolve issues;
3. Contribute to project evaluation by gathering participant feedback, case studies and other data, and collating information to inform programme reporting;
4. Ensure key contacts are logged on the CRM system and financial records are logged on the finance portal.
Person specification
Essential
1. Excellent written and verbal communication skills;
2. Excellent IT skills including knowledge and experience of using databases, CRM and finance packages and Microsoft Office;
3. High professional standard of literacy and numeracy;
4. Demonstrable administrative experience, can initiate own priorities as well as respond to deadlines and multitask;
5. The ability to build relationships with participants, partners and cross departmental teams;
6. A keen eye for detail and focused on delivering excellent service to external and internal stakeholders;
7. Be a self-starter and comfortable with working autonomously.
Terms and conditions
Salary: up to £25,000 per annum, dependent on experience
Holidays: 25 days per annum + Christmas eve (museum closed)
Hours: 35 hours per week / 5 days per week
Location: Design Museum Kensington is the place of work, with a hybrid arrangement of 60% of an employee’s role to be performed at the museum and 40% remote
Contract: fixed-term until 30 September 2025, with renewal subject to further funding

Hours of Work
Full-time employees are required to work no less than 35 hours per week. Core hours on contracted working days are between 10.00am and 4.00pm. Employees must be available for work, meetings etc during these times, notwithstanding time for a lunch break. A minimum of a 20-minute break must be taken if an employee is working over six hours. Hours for part-time employees are pro-rated accordingly.
