We are currently seeking a highlyorganised and proactive Office Administrator to join our dynamicteam.
You will be office based,this is not a remote workingposition.
KeyResponsibilities:
* ManageFinancial aspects using Xero software andXcel.
* Monitor completed jobs and raiseinvoices.
* Process and validate invoices fromsubcontractors and suppliers forpayment.
* Prepare and issue invoices to clients,ensuring accuracy and compliance with Contract, CIS and VATregulations.
* Maintain accurate financialrecords and support the Director with ledgerupdates.
AdministrativeSupport:
* Supportday-to-day office administration, including answering phone callsand managing correspondence.
* Assist Operationsand Office Manager with logistics, scheduling engineers, andcoordinating programming works.
* Liaise withclients to arrange access and managecall-outs.
HumanResourcesSupport:
* Support OfficeManager with employee records, including tracking holidays and timeoff.
* Assist with annual reviews and support theHR process.
* Attend and contribute to monthlymanagementmeetings.
QualityManagement:
* Support andmaintain the company’s quality management processes and proceduresin line with BSI 9001 standards.
* Ensure alldocumentation is up-to-date and compliant with industryregulations.
RequiredSkills andQualifications:
* Experiencewith Xero accounting softwaremandatory.
* Awareness of CRM systems,specifically HubSpot.
* Proficiency in MicrosoftOffice Suite, including Word, Excel, andOutlook.
* Basic accounting skills, with a strongunderstanding of CIS andVAT.
AdministrativeSkills:
* Strongorganisational and multitaskingabilities.
* Excellent communication skills, bothwritten and verbal.
* Ability to workindependently and prioritise taskseffectively.
HR andQualityManagement:
* Basic HRknowledge, including handling employee records and participating inreviews.
* Familiarity with BSI 9001 qualitymanagementstandards.
IndustryKnowledge:
* Previousexperience in the construction, electrical, fire, AOV, or lightingindustries is advantageous but notessential.
