What’s the role?
We’re on the hunt for an Operations Administrator to join our Operations team. In this role, you’ll be responsible for coordinating the delivery of orders and supporting the Operations team in administrative tasks, ensuring information is managed efficiently and correctly. Your responsibilities will include:
* Managing Independent Retail Orders
* Managing Marketing and Customer Service Orders
* Inventory Management and Administrative Support
You’ll also work closely with teams across Sales, Finance, and our UK 3PL warehouse, reporting directly to the Retail Operations Manager.
What will you be doing?
Order Fulfilment (Independent Retail, Marketing and Customer Service):
* Managing Independent Retail Account orders - releasing orders to the warehouse on SAP Business One, liaising with warehouse operatives and each relevant sales person to ensure orders are dispatched as seamlessly as possible. Creating commercial invoices and packing lists for orders travelling outside of the UK for International Sales Samples.
* Managing Marketing Orders (to influencers, Board Game Cafes, etc.). Releasing orders on SAP, liaising with warehouse and Marketing team.
* Managing Customer Service Orders and Board Game Spare Parts Replacement Orders - releasing orders on SAP, liaising with the warehouse and Customer Service team.
* Managing Marketing orders and Customer Service orders in the US - influencers, Board Game Cafes as well as refining a process for customer service and spare parts.
* Managing Marketing orders and Customer Service in Germany - influencers, Board Game Cafes as well as Customer service orders and spare parts.
* Assisting the Retail Operations Manager with National Retailer Admin. Chasing bookings, PODs, ensuring orders are dispatched on time, and liaising with the warehouse to ensure they are reworked as required. Reviewing retailer requirements to ensure compliance.
UK 3PL Inventory and SLA Support:
* Assisting in managing the Returns process into Warehouse and liaising with the Finance Team to ensure stock is put back on the system correctly.
* Assisting in monthly stock reconciliations between Warehouse System and SAP Business One.
* Performing stock allocations and stock transfers on SAP Business One as assigned by the Retail Operations Manager or requested by Sales.
* Assisting the Retail Operations Manager in creating an Obsolete stock report each month to highlight to the sales team and the wider business items which have excess stock.

What is Desirable:
* Experience of working in a Retail or Stockroom environment.

* Experience of working with Inventory Management Systems (e.g., SAP Business One, Quickbooks, etc.).
* Data handling experience.
* Someone who loves board games!
