Finance Assistant Part-Time Responsible to: CEO Grade Admin Hours of work: 20 hours per week Work location: Oakley, Bedford – Hybrid working Role Purpose Blue Bear is seeking an organised and reliable individual to provide all round purchasing and financial recording support on a part-time basis. The successful candidate will be a team player who is keen to get involved and happy to help in many related aspects of the company operations. Ideally you will be familiar with XERO accounting software (or similar) and Microsoft Office including Access databases. You will be required to carry out number of tasks including purchasing, processing invoices, etc on a daily/weekly basis. Key Responsibilities Purchasing: • All orders to be undertaken once approved and payment recorded with a valid VAT receipt or invoice once obtained. Mark as completed on SharePoint. • Raise purchase orders for suppliers if quote is given and send to the Project Manager and supplier, keeping a record for when invoice is received. • Keep a record of daily orders placed including the payment type used and the project it is for. • Work with the Executive PA to ensure that stocks of office stationery, cleaning and catering supplies are purchased and maintained, ensuring best value for money. 2 October 2024 Book Keeping: • Record all purchase invoices, credit card transactions, employee expenses, direct debits, PayPal transactions and any other purchasing transactions. • Ensure accurate and valid receipts and invoices are assigned to all transactions. • Record all sales invoices raised and grant monies received. Alert relevant person when any sales invoices are overdue for payment. • Reconcile the bank account, PayPal account and savings accounts daily/weekly as required. • Reconciliation of all company credit cards daily/monthly. • Review all accounting postings to accounts to include nominal codes used and projects assigned to monthly. Other Duties and Responsibilities • To actively participate in Blue Bear’s Performance Management Scheme. • To undertake such other duties and responsibilities as may be reasonably required within the grade and level of the post. • You will be expected to perform different tasks as necessitated by your evolving role within the company and the overall business objectives of the company.
