The role of an Administrator within a Unison Branch office is varied and provides the operational backbone of the Branch. Working with the leadership team you will ensure the smooth day-to-day functioning of the office, encompassing tasks such as managing office supplies, handling incoming and outgoing correspondence, and maintaining accurate records. You will be the point of contact for internal and external stakeholders, ensuring clear communication and efficient workflow.
The postholder will be the first contact for our members, answering phone calls and assisting with general enquiries, whilst greeting members who attend the Branch Office, providing first line advice. Our administrators are responsible for scheduling appointments, coordinating meetings, and ensuring a positive and professional experience for anyone interacting with the Branch.
The postholder will utilise various software systems, coordinating with IT support when necessary, and maintaining the integrity of office equipment. Responsible for managing the offices' digital infrastructure, ensuring secure file storage and efficient date management practices.
The Administrator role in a Unison Branch is not static; it requires the individual to be adaptable, proactive and eager to learn. The postholder will demonstrate a willingness to take on new challenges, embrace process improvements and actively seek opportunities for professional development.
Support the project lead in ordering campaign materials
Provide support for branch campaigns, ballots and the organisation of conferences and seminars
Maintain confidentiality in all aspects of the role
Support the smooth running of the branch office.

UNISON Liverpool Hospitals Health Branch (LHHB) has Members over 7000 in all acute NHS Trust across the Liverpool City Region; Liverpool University Hospital NHS FT ( Aintree, The Royal and Braodgreen), Liverpool Heart & Chest Hospital, Liverpool Women's Hospital, Alder Hey Children's Hospital, The Walton Center and Private Contractors.
To provide first point of contact for UNISON Members requiring support from the Branch, providing necessary information or referring them to the appropriate UNISON representative or Branch Management Team.
Ability to communicate clearly and precisely with a diverse range of individuals at all levels and using a range of methods including face to face, telephone and email.
Opening, sorting and date stamping the department internal and external post. Photocopying documents, and issuing information emails as required. Sending information to members, maintaining confidentiality.
To liaise with manager to maintain a quality information system and identify potential flaws which would affect data.
Attend and minute meetings as and when required, maintain a log of required actions and decisions, and manage the actions log providing updates as required by the UNISON Management Team.
Provide administrative support to the Project Team in all aspects of work relating to Projects. This will also include the co-ordination of diaries, arrangement of meetings, venues and catering requirements etc.
To access the database to retrieve information and produce statistics and reports for the Branch.
Manage and update the filing system, archiving notes as necessary.
Responsible for stock control and ordering stationary as required from reprographics and stationers.
Provide clerical and administrative support for staff.
