Private Secretary Group provides specialist secretarial and administrative support to private medical consultants. We are a friendly, hardworking, and professional team that values efficiency, accuracy, and excellent patient care.
We are looking for an experienced Medical Secretary to support up to four private consultants, handling appointment scheduling, diary management, patient communication, invoicing, and administrative support.
Key Responsibilities
* Booking, rescheduling, and cancelling outpatient and surgical appointments.
* Managing consultant diaries and arranging meetings.
* Answering patient calls and emails (calls make up 50% of the role).
* Drafting and proofreading clinic and referral letters.
* Processing invoices and payments for consultants.
* Liaising with hospitals and healthcare providers for imaging and referrals.
* Providing cover for other secretaries during annual leave/sickness.
* Assisting in training junior staff and updating procedures.
Requirements
Essential: Previous experience as a Medical Secretary (applications without this experience will not be considered).
Software Knowledge: Experience with Carebit, Semble, Ultragenda, Compucare, Maxims, Microsoft Office, Egress is beneficial.
Strong communication skills – both written and verbal.
Highly organised with the ability to manage multiple consultants.
Ability to work independently, making administrative decisions while escalating medical or managerial queries.
Audio Transcription experience is beneficial but not required.
Desirable Qualifications
* A Medical Secretary Diploma, AMSPAR, or BSMSA certification is advantageous but not required.
* Medical terminology training will be provided via an outsourced course.
