We are seeking an experienced Project Administrator/Secretary to support our Operator clients major engineering project office, with business support. This is an initial 12 month contract, starting asap.
Responsibilities:
1. Provides PA support to GM - Assets, STaR & GE Areas.
2. Supports Senior Managers, Golden Eagle & Scott teams and members of the Administrative Team in all aspects of administration and acts as departmental focal point.
3. Livelink Document Management System – fully utilise the functionality of Livelink including workflow, document filing. Provide support and guidance to department on the use of Livelink, and actively supporting the team to encourage strategic use of the system - Livelink Super User.
4. Intranet administrator – maintain and publish material relating to team and enhance the quality of the site to increase visitors.
5. Ensure new starts are welcomed and provided with the correct set-up, information, and training to perform efficiently within the department.
6. Arranges JV meetings, general meetings, team building events and conferences both internally and externally.
7. Attends JV meetings, team meetings, records actions and tracks progress within agreed deadlines.
8. Prepare and submit weekly Management report within required timeline.
9. Assist team with arranging training, PPE and business travel as and when required.
10. Maintain departmental registers, holiday charts and contact lists.
11. Collate information and create presentations and/or reports.
12. Review departmental administrative processes to ensure alignment with UK procedures.
13. Actively participate in the monthly UK Administration team meetings to ensure consistency in processes and across teams.
14. Other duties as and when required.

Specific Requirements:
1. Administration/Business skills qualification advantageous.
2. Technical qualification/training advantageous.
3. Previous experience in a similar role.
4. Good IT/office technology skills with a detailed knowledge of Microsoft Office (SAP, technical software/applications preferred).
5. Excellent keyboard skills.
6. Ability to initiate and implement improvements to administration procedures and systems.
7. Good attention to detail.
8. Ability to work on own initiative, prioritise workload and manage multiple tasks.
9. Ability to work to deadlines and perform effectively under pressure.
10. Effective team working.
11. Effective communication skills.
