Position Summary
The HR Executive Assistant provides support to the VP HR for EMEA/Asia in all aspects for HR, including areas of employee relations, talent acquisition and development, compensation, employment law, compliance, benefits, organisation design, employee engagement and training for the TriMas Packaging locations primarily in Europe and Asia but also on global projects as they arise.
Main Duties & Responsibilities
1. Work closely with the VP HR, EMEA/Asia and the HR teams on all HR related tasks
2. Coordinate and manage meetings (internal and external)
3. Maintain and support the EMEA/Asia teams with the TriMas Packaging Training Tracker platform and collate the number of training hours per employee
4. Support with the deployment, assist in collating the data analytics and follow up on action planning following the Annual Engagement Surveys via Gallup and Survey Monkey platforms
5. Assist EMEA/Asia talent acquisition and development tasks
6. Manage travel and itineraries (flights, hotels, car hire, visas etc.)
7. Assist with the “OneTeam Engagement” Page content and updates
8. HR4HR Page – create and maintain document library and manage permissions for this secure area
9. Work with the Communications Team on the HR Intranet page updates and content
10. Managing communications, ensuring key actions and updates are proactively shared
11. Distribute all TriMas Packaging Employee Announcements via the intranet
12. Document translations as required for the EMEA/Asia locations
13. Document sharing with the EMEA/Asia HR teams using OneDrive and Teams
14. Circulate HR DOA approvals via Adobe (Docusign)
15. Attend, contribute and take notes on the monthly HR Team Meetings (EMEA/Asia and Italian Teams) and follow up on actions as necessary
16. Support TriMas Packaging EcoVadis Assessment submissions
17. Assist with the creation and deployment of all types of compensation communication to employees
18. Timely process of expenses
19. Attend monthly Global EHS Meetings and follow up on any actions as required.
Qualifications
Qualifications and Skills:
1. Previous experience of working and supporting senior leadership teams
2. Exceptional organisation skills with attention to detail, the ability to prioritise, plan and multitask
3. Excellent interpersonal and communication skills
4. Advanced computer skills (word, ppt, excel, HR and training software platforms)
5. Good written and verbal communications skills
6. High levels of discretion, confidentiality and trustworthiness when handling sensitive information
7. Ability to be proactive and use own initiative
8. Proactive approach to problem solving
9. Resourceful, ability to work independently, finding solutions with sometimes limited information
10. Ability to manage tasks independently, coordinate projects and keep track of details
11. Flexibility and adaptability very important.
