Job Description
Summary of role
The Account Executive plans and executes assignments to help the team achieve project goals and meet project deadlines, including working with various resources (financials, suppliers, internal departments, and research), scheduling project timelines, and general project coordination. They support the Project team to track, manage, and execute projects and initiatives in an efficient and cost-effective way.
Key responsibilities of the role include:
Client Management Support
* Liaise with clients and build strong client relationships
* Schedule and attend client update meetings and calls, preparing agendas
* Create accurate and timely action-led contact reports post meeting
* Manage critical paths
* Assist with pitching teams
* Maintain awareness and visibility of clients’ business and activities and be able to talk knowledgeably about them
Project Coordination
* Support Account Manager/Project Manager with costings and detailed quotes
* Budget admin (raising POs, processing invoices, setting up suppliers)
* Ensure team timesheets are up to date
* Assist with job and budget reconciliations
* Coordinate with vendors to meet project needs
* Source furniture, set and scenic items as required
* Liaise with Creative teams to create all event artwork/print requirements
* Liaise with entertainment suppliers regarding booking hosts, artists, and their rider requirements
* Draft photographer/video briefing documentation
* Keep up to date with new technology suppliers
* Track and escalate project issues
* Organise project files
* Assist with the coordination of onsite staffing, including drafting briefing documents
* Create stationary/onsite kits and documentation
* Assist onsite and support the Project/Account Manager in the event delivery, fulfilling specific roles as required
Logistics
* Research venues and event spaces and keep up to date with new venue openings in the UK and worldwide
* Manage accreditation for projects when required.
* Crew logistics – secure appropriate hotel accommodation, flights, and catering for onsite crew
* Coordinate site visit inspections
Other
* When required, be able and willing to travel nationally and internationally
* Attend industry forums and exhibitions to gather information and share key learnings and best practice
* General administration (answer the phone, take messages, book couriers, and receive courier deliveries)
Essential skills/qualifications:
* Minimum 12 months’ experience, preferably in a similar agency environment
* Minimum of A level education, preferably also to a degree level
* A self-motivated, enthusiastic individual with a can-do positive attitude
* Driven, confident, and articulate
* Willing to work as part of a team but also have the initiative to work independently
* Excellent communication skills, both written and verbal, with strong attention to detail
* Motorsport background or experience a bonus but not compulsory
* Be well presented and comfortable in a corporate environment
* Ability to juggle day-to-day tasks with high-priority work
* Proactive and resourceful, able to use initiative and problem solve
* Good skills in Microsoft Office (Word, Excel, and PowerPoint) are essential
* A team player who is dedicated and enthusiastic about events
* An understanding of budget management (basic knowledge of Procim an advantage)
