We have an exciting opportunity for a Colposcopy Data and Audit Officer working Monday – 5 hours, Tuesday, Wednesday and Thursday 8.30am to 5pm, 27.5 hours per week within the Maternity & Gynaecology Care Unit, Family Care Division.
To support the Colposcopy Specialist Nurse in the operational day-to-day colposcopy service ensuring accurate administration of Colposcopy data and records.
To provide full administration support for the quarterly and annual KC65 audit reports, supporting the Cervical screening programme lead (CSPL) and ensuring accurate and efficient entry of data for submission.
To undertake regular auditing to ensure all data and service standards are accurate and up to date.
To work directly with consultants, specialist nurse, admin teams and any other multi-disciplinary professional.
Communicate in a professional manner with GP’s, Consultants, technicians, outside agencies and patients.
Be aware of targets affecting workload through the department, for example national screening targets and cancer waiting times, and support the management team in relation to achieving these performance targets.
Be proactive in identifying workload issues that may affect service provision, develop and implement action plans to resolve issues.
Responsibility for Information Resources- both computerised, paper-based information systems- securing, creating, updating and maintaining databases and/or systems and the degree to which it is shared with others.
Auditing Colposcopy systems and data to ensure accurate and efficient running of service information.
Monitor the production and progress of the Annual and quarterly KC65 report, ensuring regular updates and inputs for timely submission.
To attend any local Cervical Screening programme board meetings and the monthly colposcopy MDT and provide administrative support to CSPL and Invasive Cancer.
To provide administrative support to the screening service and to support both planned and unplanned QA visits, including minutes and action trackers.
To provide comprehensive administrative support to the department managing confidential, complex and sensitive information, exercising discretion and always upholding high professional and ethical standards.
Oversee effective systems and ensure IT links are in place to feedback colposcopy attendance and histology outcomes to the screening laboratory.
To take initiative in organising, administration and communication within own role, to ensure high professional and ethical standards are maintained.
Undertake regular auditing of administrative processes and treatments, providing sub audits of yearly colposcopy data. Giving reasons for different treatments and identifying underperformance against target.
Provide full administration for all colposcopy audits, to include annual individual colposcopy data, histopathology data audit, clinic data audit and invasive cancer audit. Creating accurate reports whilst hitting deadlines for submission.
Supporting Lead Nurse Colposcopist and Colposcopy Lead in patient satisfaction survey.
Provide monthly failsafe discharge documents for submission to CSAS.
To action complex instructions from medical and clinical staff and/or other designated senior staff.
Work to strict colposcopy deadlines, monitoring patients’ progress/activity throughout the pathway making information available to all levels of staff on each patient’s status.
To monitor outstanding diagnostic test results for patients that may require subsequent action.
* Liaise with all agencies regarding patient pathway. Accurately taking telephone and e-mail messages regarding the pathway, actioning them as required. Deal with sensitive information in a professional, confidential and positive manner.
* To organise meetings and events, producing meeting action notes, minutes and agendas as necessary. This will include diary management where appropriate, ensuring that senior staff are supported in achieving relevant objectives.
* Create required documentation in the form of spreadsheets and word documents as required by the Cervical Screening Programme Lead (CSPL), submitting data when required.
* Utilise the laboratory iLAB database system and Exeter database system for extraction of data as required by the CSPL.
* Prepare slides, paperwork and video conferencing for the monthly CPC meeting and monthly Invasive Cancer meeting.
* Create and maintain an electronic filing system for the CSPL.
* To maintain confidentiality at all times relating to the patients, staff and the Trust.
* Ensure that all local administrative support processes are appropriately actioned.
* To support the divisional leadership team in achieving local, Trustwide and national targets.
* Balance workload ensuring all local requirements, resources and targets are met.
