Job Description Post Title: Centre Manager Hours : 30 hours per week (5 days over 7 days - covering staff leave/sickness where appropriate) Rate of Pay: £14.50per hour Location: 19 Gomer street, Willenhall WV13 2NS Responsible to: Board of Directors Main Purpose of the Job: It is the responsibility of the Centre Manager to assist the Deputy Manager and staff with compliance across the organisation, particularly monitoring compliance and ensuring staff are given effective supervision, monitoring, and inductions. It is the responsibility of the Centre Manager to support the Deputy Manager and team in achieving the aims and objectives of the Company and achieving the level of quality in the service provided to the local community in accordance with the Company's policies and procedures. The Centre Manager will liaise with the Deputy Manager on a weekly basis to develop ideas and strategies to tackle issues and improve provision in the Chart Centre. The Chart Manager will report to the Board of Directors bringing required documentation and ensure all communications are clear and affective. The Centre Manager will report in the first instance to the Directors of Chart. This is a stand-alone role at the Chart Centre. Role Responsibilities: To carry out weekly inspections in Chart, conduct quality check inside and outside the building and appropriate assessments for all new projects. Overseeing the daily operations of the organisation including adequate staffing and resource. Complete quality audits within Chart to generate reports relevant to the organisation and ensuring staff are made aware where appropriate. Delivering quality services to the local community and ensuring all activities meet the needs of the community, are compliant with health & safety and follow the centre policies and procedures. To conduct reviews of the organisation including the updating of the Development Plan, relevant Risk Assessments, documentation such as policies and procedures as appropriate. Conduct observations within Chart, including staff supervision, appraisals and probationary meetings. Communicate effectively with office staff, and other internal and external stakeholders as required and attend meetings relevant to the delivery of services for the centre. To implement quality control procedures and processes to ensure the organisation always achieves the required level of compliance as a registered charity and limited company. To ensure all legislations, policies and procedures are always adhered to. Ensuring environment and cleanliness of the centre and its appearance to the highest standards. Addressing/reviewing emails daily. Ensuring monitoring and funding returns are submitted in a timely manner and without delay. Responsible for ensuring all Safeguarding compliance within the organisation and training is delivered so all staff comply within the regulations. Responsible for the recruitment of staff in various roles within the organisation and ensure unconscious bias is adhered to in all recruitment. Conduct evening / day checks unannounced at any time throughout the day or evening, to ensure centre is compliant and staff are undertaking their role. Attendance at meetings which will support, benefit and enhance the provision at the centre and for the community. Covering the centre as required for sickness and holiday cover for staff to ensure business continuity within contracted core hours. To undertake other duties as requested by your Line Manager which are not listed above but are part of the role applied for. 1. Attention To Detail To be compliant with the Standards and legislation governing the Chart Centre and other regulations concerning the provision of Charts services. To always represent the company in a professional manner, on the telephone, face to face or in written communication. To always maintain confidentiality and carry out the Company's Confidentiality Policy. To carry out the monitoring of the centre in the field to ensure that it meets the quality targets of the Company, contractual requirements inform Directors of the outcomes and issues that are identified and dealt with. To report to the Directors any issues regarding compliance or standards concerning the services provided and the staff providing them. To check staffs daily all relevant paperwork, health and safety, compliance, standards, staff conduct and environmental issues. daily log notes kept by Staff. At the direction of the Directors — to carry out spot checks and health and safety checks. Supervision reviews of the Staffs performance, including regular supervisions, inductions, and probation. To maintain accurate records and data. Budget management and other financial duties including financial reports to the Board of Directors. 2. QUALITY ASSURANCE Ensure compliance with agreed processes and procedures across Chart. Putting forward new ideas which could improve standards and liaising with Company Directors to devise new systems and processes. Have an impact on the planning, implementation, and review of internal inspection activity. Monitor non-compliance and lead on addressing this with staff members. This should always be documented and communicated to the Directors of Chart. HEALTH & SAFETY To be familiar with the Company's obligations under the Health and Safety at Work Act 1974 and the other Health and Safety Regulations detailed in the Company's Health and Safety Policies. To have completed Health and safety training online. To keep the Company Directors informed of the outcomes and issues that are identified concerning Health and Safety issues. ADMINISTRATIVE To ensure documents are kept and filed according to company GDPR and data protection policy. Effective delegation of duties to staff to minimise work load Any administrative duties as required as part of the role.
